About Proof Details

Use the Proof Details page to view proof information and progression.

Screen captures reflect the Enterprise edition of Ziflow. You may not see some features or options depending on the proof permissions you have been granted and your Ziflow edition.

To view the Proof Details page of a proof, from the dashboard, select your proof.

Share Share this proof with other Ziflow users or guests. 
Copy link This link may be used to access the proof if your security settings permit.
proof-details-notify-icon.png Notify Send reminder emails to reviewers. See Send manual proof reminders.
proof-details-export-icon.png Export Export a proof report or a PDF with all comments. See Export proof report or PDF with comments.
Download original file Download the original asset file if settings permit.
Move version Move a proof version to another proof or elsewhere in the same proof. See Disconnect or move a proof version.
Split versions Extract a proof version without deleting it. See Disconnect or move a proof version.
Lock version Lock your proof version. See Lock and Unlock proofs manually.
Delete latest version If you have more than one proof version, you can delete the latest version of the proof.
Move proof Move your proof to a different folder. See Move proofs to folders.
Duplicate proof Duplicate your proof. See Duplicate Proofs.
Archive proof Archive your proof manually. See Archive proofs and folders.
Delete proof Delete a proof. See Delete proofs.
Proof version ID Displays the unique proof ID, which can be used if you need to contact Ziflow support. Click the copy icon to copy the ID so you can easily paste it into a support ticket.
Version selector Select or add a new Version - select different proof versions from the drop-down list to see the Proof Details for each version, including reviewers' decisions.
+ (Add version) Add a new proof version.
Review Opens up a proof in the Proof Viewer.

 

Proof summary information

Folder – The location where the proof is stored.

Status – The current state of the proof 

  • The review status: In progress/Approved/Approved with changes/Changes required/Not relevant. For more information, see Complete a review or submit a decision.
  • Failed - this status indicates that the process of generating or submitting the proof has encountered an error or issue that prevented it from completing successfully. The file being processed might be corrupted, in the wrong format, or too large.

  • Uploading - this status indicates that the proof is being uploaded to the Ziflow platform.

  • Preparing - this status indicates that the system is preparing the proof for review or further processing.

Owner – The user who created the proof.

Created – The date the proof was created.

Proof number - A number that represents the entire proof. This is not the proof ID which represents a version within the proof. See View and find proofs by proof number.

Assets – Files used to create the proof.

Workflow 

Displays all details about invited reviewers, stages, and the detailed proof progress.

Workflow template

Displays if the proof has been created with a workflow template. You can also replace or append a new workflow template on an already-created proof. See Create and use workflow templates.

Overview

Displays the current status of the proof using one of the following status indicators.

 

In progress indicator

 

In progress - the proof has started, and reviewers whose stages started can access it.

 

Approved indicator

 

Approved - the proof has been approved.

 

Approved with changes indicator

Approved with changes - the proof has been approved upon minor changes being applied.

Changes required indicator

Changes required - the proof has been reviewed, and changes are required.

 

Stage settings

Settings that you may apply to the stage. Read more about specific settings in Create a proof review. 

 

Reviewer progress indicators (SOCD)

Use the review progress indicators to see where each reviewer is in the review process.

SOCD indicators are tracked per reviewer, per stage, within a single proof version.

 

Letter  Description Indicator turns green when
S Sent The proof notification email has been sent to the reviewer notifying them that they have a new proof. Shared across all stages.
O Opened The reviewer opens the proof. Shared across all stages.
C Commented/Reviewed The reviewer engages with the proof in a specific stage:
• Light green = comment added only
• Green = decision made or Finish Review clicked
D Decision A decision is made in a specific stage.

 

  • C turns green when a decision is made, since that action is functionally equivalent to clicking Finish Review.
  • If a reviewer can’t make decisions, they’ll see the Finish Review button instead—unless disabled.

 

Brief

Standard, Pro, Business Legacy, and Enterprise editions

Displays additional information about the proof. The brief is available to all reviewers in the Proof Viewer.

 

Integrations

If you linked Ziflow with an integration, you'll can connect a proof with items (tasks/projects) that exist in third-party applications. See Integrations and Automations.

 

Settings

Security and General settings of the proof.

 

Activity

A log of all activity on your proof. See Proof Activity and Messages Log. 

 

Emails

Lists all the messages and notifications sent throughout the proof and approval process.
