Delete or recover proofs

Deleting proofs removes work that is no longer relevant. While the process is straightforward, there are important differences between deleting a proof version and deleting an entire proof project. 

You can also choose to archive proofs. For more information, see Archive/unarchive proofs and folders.

  • Proofs in the Trash do not count toward your account storage usage.

    Proofs remain in the Trash for 30 days and are then permanently deleted automatically. This process removes outdated assets without requiring manual cleanup.

    Who can delete proofs

    The delete option is available to the proof owner, reviewers with Manage permissions on the proof, and Ziflow administrators and managers with access to all proofs.

    If a proof is deleted while a reviewer has it open in the Proof Viewer, the reviewer will see a warning message indicating the proof has been deleted.

    Delete proofs

    You can delete proofs from two locations.

    Proofs list

    Deleting a proof from the Proofs list  deletes the entire proof project.
    Select one or more proofs in the Dashboard Proofs list and use the bulk actions bar.

    Proof Details page

    You can choose to delete only the latest version or delete the entire proof project.

    You cannot restore a version if you delete it.

    Open the Proof Details page from the Dashboard Proofs list and select either Delete proof or Delete latest version.

    Restore deleted proofs

    Deleted proofs are moved to the Trash and can be restored if needed. Only proofs that were deleted entirely can be restored. Individual proof versions cannot be restored. To recover specific versions, contact Ziflow Support.

    The Trash view shows only proofs you have permission to edit. You can restore a proof if:

    • You are an admin or manager with access to all proofs
    • You are the proof owner or have Manage permissions for the proof
    1. Go to you Dashboard Proofs list.
    2. Select the + tab in the Views bar and chose Trash. You can optionally star it to create a Trash tab in the View bar.

    3. Find your proof and select the restore icon from the bulk actions bar.

    Permanently delete proofs from trash

    When you permanently delete proofs, this action cannot be undone.

    1. Go to you Dashboard Proofs list.
    2. Select the + tab in the Views bar and chose Trash. You can optionally star it to create a Trash tab in the View bar.

  • Where is the feature applied? If you are the Proof Owner, the feature is automatically applied. Reviewers who are granted the Manage when creating a new proof will also have the ability to delete proofs.

    Removing proofs

     

    The Delete proof option is available from two locations:

    1. The bulk actions menu is found inside your Proof List, as shown below.

    2. The Proof Details page is accessed by clicking on the Proof Details button inside the Proof List.

    If you decide to delete a proof, it is important to note that …

    1. On the Proof Details page, you can select to delete only the last version of the proof or remove the whole project. Please note that if you click a Delete button from a Proof List level, the proofing project will be deleted entirely.

    2. If a reviewer opens a deleted proof or somebody is currently working on that proof when it is deleted, he or she will see the following warning message.

    Restoring deleted proofs

    Often, proofs are deleted by mistake or removed when they are not needed anymore. If this happens and you need to restore deleted assets, you can now restore them from the trash.

     

    If you want to recover proofs, please open the Trashed proofs filter on the left side of your Ziflow dashboard.

    This will allow you to view all projects that have been deleted. What is important here is that the list shows only proofs to which you have edit rights. You should be able to restore a proof if:

    - you have an admin or manager role in Ziflow (access to all proofs);

    - you are the proof owner or have manage rights on a proof.

     

    Deleting proofs from trash

     

    If you want to delete proofs permanently, please go to Trashed proofs in your dashboard, mark proofs to be eradicated, and confirm the action:


    Additional information:

    Please note that deleted proofs (those in the trashed folder) do not count toward used storage in your account.

    With the Ziflow 24.01 release, we have implemented a system change that will automatically delete any proof that has been in the trash for 30 days.

    When you move a proof to the "Trash," it will be permanently deleted after a 30-day period. This change streamlines the process of purging outdated assets by automating the removal of proofs from the "Trash" after the specified duration.
