The Proofs list, also referred to as the Dashboard, is the primary navigation area in Ziflow. It shows every proof you are associated with and acts as the central place to create proofs, review progress, and manage work across folders and workspaces.
All licensed Ziflow users can access the Proofs list. The available options and controls may vary depending on your edition and account permissions.

In the Dashboard Proofs list you can search, organize, view, filter, create new proofs, and perform bulk management operations.
Global search
Global search lets you search for proofs from anywhere in your Ziflow account. You can enter a word or phrase and Ziflow searches across current and previous proof versions. See Find your proofs.
Searchable content includes standard and custom fields, version names, file names, reviewers, and other associated metadata.
Workspaces
- Everything: Displays an unfiltered view of all proofs you can access across all workspaces.
- General workspace: Shows all proofs and folders created within your Ziflow account while you are logged in.
- Shared workspace: Displays proofs and folders shared with you from other Ziflow tenants you have been invited to.
Folders
Folders let you organize proofs into a structure that matches how your team works. They are available in both the General and Shared workspaces.
Folders do not change proof permissions but provide an additional layer of organization and navigation. For more details, see About folders.
Views
The Views bar lets you switch between saved views and manage your favorites. Views control which proofs you see and how they are displayed.
When you want to see all proofs you have access to within a selected folder or workspace, select a folder or workspace in the left folder panel and the All tab. This shows all available proofs without filters or view settings applied.

Display views
You can choose how proofs are displayed in the dashboard:
- Grid view: A visual layout with limited proof details.
- List view: A detailed table view that makes it easy to scan and compare many proofs on one page.
- Expanded view: A list view that shows the full workflow and status of each proof.
Ziflow administrators can set a default dashboard view. See Configure default proof settings > Default dashboard proofs layout.
View proof count
The proof counter shows how many proofs are currently displayed on the page and the total number of pages in the current view.
Filters and display columns
- Advanced filters: Create and save custom filter sets to quickly find specific proofs. Filters can be reused across sessions. For more information, see Create dashboard views.
- Show columns: Customize which proof details appear in the list view by selecting additional columns. Column selections are saved as part of a view. For more information, see Display Dashboard columns.
- Proof search by name: Filters the list by proof name in addition to any active filters.
Create proofs and folders
Select New proof(s) to add a new proof or create a new folder. For more information, see Create a proof review or Organize your proofs using folders: create a folder.
Bulk actions
Bulk actions let you apply changes to multiple proofs at once. Select proofs by clicking them while holding Shift or Ctrl.
The available actions depend on your permissions and account edition, and may include:
- Moving proofs to folders
- Archiving proofs
- Sharing proofs
- Editing custom properties
- Changing proof owners
- Downloading original files

How does it work?
See the screenshot below, along with a description of each function.Default & Favorite filters: Active proofs, My proofs, Proofs to review, Completed proofs.
Folders - allow you to create an individual structure that will help organize your proofs in a more advanced manner.
Hide/Show archived folders - this setting allows you to display/hide folders that have been archived.
Custom filters - enables you to create and save your own custom filter sets, which will help you quickly identify the proofs you're searching for.
Filter proofs by account - click to see proofs from all accounts you can access or only from the one you are currently logged in.
Custom views - are another way for you to locate and organize proofs.
Proof search - filters by proof name in addition to the existing filter.
Proof counter - shows how many proofs are currently displayed on each page, along with the total number of pages.
Global Search - The Global Search feature lets you search for proofs from any page within your Ziflow account. You can enter a word or a phrase, and Ziflow will search through all the fields, reviewers, custom properties, etc., of the latest proof versions and display those results.
Quick add - depending on the user permissions, allows adding various objects such as proofs, folders, workflow templates, intake forms, flows, users, contacts, or lite users.
Progress: - shows the progress made on a proof. Each letter (SOCD) marked with a green color lets you know that the proof has been sent, opened, commented and a decision was submitted by reviewers.

Status - shows the current status of a proof - an explanation of each status is listed below:
In progress - The proof is available for review.
Approved - The proof has been approved.
Approved with changes - The proof has been approved upon minor changes being applied.
Changes required - The proof has been reviewed, and changes are required.
Decisions - shows how many decision-makers there are and how many of those reviewers have made a decision.
Created - shows the date when the proof was created.
Proof Owner - hover over the avatar, and it will display the name and email address of the owner.
Create new folder/proof - click the folder icon to create a new folder. Click on the green Create Proof button to create a new proof.

Expanded proof list view - by choosing this option, you will expand all proof details on your screen. You will be able to see the progress of each stage and each reviewer from the list view. Without any additional actions, just by scrolling, you can identify where you need to take action to get your work on time.
Proof thumbnail - displays a thumbnail preview of your proof.
Proof Name, Version, and folder - displays the proof name, the folder location, and how many versions there have been on a proof.

Bulk actions - you can select multiple checkboxes to perform bulk actions on proofs, such as moving to a folder, archiving, sharing a proof, editing custom properties, changing proof owner, etc.
Proof Details button - reveals a detailed summary of the proof along with progression indicators.
