Ziflow administrators configure default proof settings in Proofing Settings > General. Ziflow displays these settings when users create a proof.

Note: Screen captures reflect the Enterprise edition of Ziflow. You may not see some features or options depending on the proof permissions you have been granted and your Ziflow edition.
Log into Ziflow. Select your user avatar and choose Settings > Proof Settings > General
Proofing defaults
Select Allow editing to allow users to select the setting during proof creation.
Select Default to enable the setting as a default during proof creation.

Enable this setting to make the proof a minor version (e.g., V0.1, V0.2, V0.3, etc.). Note: Minor versioning will not automatically change if you allow viewing previous versions or the full workflow. |
| Lock the proof when all decisions are made | Auto-lock the proof when all decisions are made to prevent reviewers from taking further actions (like adding comments or decisions). The only people able to unlock a locked proof are proof owners and managers. |
| Allow download of the original file | Enable this setting to let reviewers download the proof's original file. A download icon is visible in the Proof Viewer and on the Proof Details page. |
| Suppress proof created/failed email | Enable this setting and Ziflow won't send the proof creator an email when the proof is created or if proof creation fails. |

Folder sharing

Enable to grant Proof Viewer users access to both the shared folder and its share-enabled subfolders. If disabled, users can only see the contents of the shared folder. Setting default: Enabled |
Other settings

| Make folders mandatory | If enabled, Ziflow will require proof creators to select a folder for the proof before they can complete the proof creation process. |
| Allow historical workflow deadlines | Allow users to set a deadline date/time that has already passed. This is useful when uploading a new version of a proof that’s already behind schedule, but you want to maintain the original review timeline and accountability context. |
| On new version set the proof name to the first file's name |
This setting is for combined (batch) proofs. Instead of automatically naming new versions after the previous one, administrators can choose whether a new version uses the previous version’s name or the name of the first file uploaded. |
| Deadlines:relative based on the previous version |
Allows deadlines to carry over based on the original version’s creation date. For example, if the first stage had a two-day gap between creation and deadline, the new version will apply the same two-day offset. Deadline calculations follow business days only, Saturdays and Sundays are excluded. |

Electronic signatures: Single credential expiry period Enterprise |
Controls how long a user can continue signing proofs using a single credential (e.g., email) after their last signed proof. Once the time limit is reached, they’ll be required to re-authenticate. Available expiry options:

| Default dashboard proofs layout | Select a default view for the Dashboard Proof List. You can switch between three different views: List, Grid, and Expanded List. Users can still change their preferences when logged into a Ziflow Dashboard. |

This setting lets you prioritize either faster video proof processing and loading times or higher visual detail. Fast Preview (Full HD) – Quicker processing and loading. Detail Focus (4K) – Higher resolution, but longer processing times. Note: This applies only to newly created proofs. If you switch to Detail Focus (4K), only new proofs will be processed at the higher resolution; existing proofs remain unchanged. |

| Thumbnails aspect ratio |
Choose how proof thumbnails are displayed in the Ziflow dashboard. You have two options: Crop to fit – Crops the image to fill the thumbnail box. Original aspect ratio – Maintains the image’s original proportions. Note: This setting only affects thumbnails in the Dashboard. Other areas, like the More proofs to review modal, folder gallery, emails, and digests—will still use the Crop to fit view. This setting also doesn’t apply to live or snapshot website proofs, which are always cropped from the top. |
| To view previous versions | If enabled, reviewers will be able to see all proof versions, regardless of their stage. |
| Allow mentioning |
Control who can use @mentions on a proof by selecting one of four settings: Only reviewers on the proof – Anyone added to the proof (users and guests) can be mentioned. Only reviewers on the same stage – Only people in the same review stage can be mentioned. Only active users in the account – Any active user in your Ziflow account can be mentioned (works only in the new Ziflow Viewer). All users and contacts in the account – Any user or guest reviewer in the account can be mentioned. Note: Guest reviewers can only @mention others who are already added to the proof. |
