Proof subscriptions: let reviewers add themselves to proofs

If you enable proof subscription at the proof level, reviewers can add themselves to the proof. Depending on the options selected during proof creation, those reviewers can comment and make decisions.

    Proof subscriptions let reviewers add themselves using a public URL link. Based on the settings you configure, subscribed reviewers can:

    • Comment on a proof
    • Submit a decision
    • Be automatically assigned to a specific review stage 

     

    Administrator settings

    Administrators must configure the following settings to allow proof subscriptions across your account:

    Proof subscriptions

    Settings > General > Proofing Settings: Proofing defaults

    This enables proof subscriptions. See Configure default proof settings.

    Allow sharing proof with

    Settings > General > Proofing Settings: Proof sharing

    This determines who can subscribe to proofs. See Configure default proof settings.

    Settings > General > Proofing Settings: Proofing defaults

    This determines who is allowed to subscribe to a proof. See Proof Security settings

     

    Enable proof subscriptions

    1. Start creating a proof.
    2. In the Security section, Access setting, choose who can subscribe to the proof. If you select the Users Only option, then guest reviewers cannot subscribe to proofs. See Proof Security settings.
    3. Enable Proof subscriptions.
    4. Choose what subscribers can do (comment, comment & make decisions).

    5. Choose to which stage subscribers should be added:

      Reviewers can be added to the first stage, last stage, or a new subscriber's stage (Enterprise edition).

     

    Share the public URL

    If you create a proof with subscription permissions, proof owners and managers can share the public URL to let people subscribe.

    1. Open the Proof Details page of the proof.
    2. Select Copy link at the top of the page to copy the public URL.
    3. Share the link.

    When reviewers use the link, they’ll be able to open and interact with the proof, based on the permissions you configured.

    Ziflow adds them to the appropriate stage, sends a subscription confirmation email, and adds their name to the Proof Details page.

    Reviewers who open a proof with a public URL don't need to subscribe if they want to export comments to PDF or download the original proof files.

    Ziflow users:

        • Must sign in to add comments or decisions. They can sign in:

          • Before interacting with the proof

          • After leaving a comment or decision (Ziflow will prompt for sign-in).

    Guest reviewers (no Ziflow account):

        • After adding a comment or decision, guest reviewers will be asked to confirm their name and email address.

    How to enable proof subscriptions

    Proof creators may enable the proof subscription setting while creating a new proof (under the Proof settings section).

    When the setting is enabled, you may choose which permissions (comment, comment & make decisions) should be assigned for auto-added reviewers.

    The proof owner can also decide to which stage those reviewers should be added:

    Reviewers can be added to the first stage, last stage, or a new subscriber's stage (the last option is available just for the Enterprise edition).

     

    How reviewers can subscribe to proofs

    To let reviewers subscribe to the proof, they have to access it using a public URL that can be copied directly from the Proof Details page within Ziflow.

    Proof owners or managers should copy the public URL and then share it with anyone wanting to collaborate on a particular project.

    When a reviewer opens a proof using the public URL, they can add comments or submit a decision depending on the proof subscribe setting chosen by the proof creator.

    Ziflow users have to sign in to add comments or make decisions. Users may sign in right after opening a proof or authenticate using their Ziflow credentials after adding a comment or submitting a decision.

    If a public URL is shared with a guest contact (reviewer without a Ziflow account), then the reviewer, after adding a comment or submitting a decision, is asked to confirm their name & email address.

    When reviewers auto-subscribe to the proof, they will receive an email notification about being added to that proof.

    Auto-subscribed reviewers will also appear under proof details when they're added to the stage selected during proof configuration.

    Additional information:

    Please note that the proof subscriptions feature respects the Allow sharing proof with setting inside the General account settings. This means that Ziflow administrators can decide who exactly can subscribe to proofs with the proof subscription feature.

    Proof security setting can also limit who can subscribe to the proof. If you select the Users only option, then guest reviewers won't be able to subscribe to such proof.
