Configure your account's comment labels, reactions and other comment settings.

This is where account admins will establish defaults for comment settings. To start adjusting decision settings, please go to Settings -> Proofing Settings -> Comments, as shown in the screenshot below.

Decision settings are divided into three parts:

1. Label settings (Standard, Pro, Business Legacy & Enterprise editions)

Summary: Ziflow administrators can manage and add new labels. These labels help reviewers, and proof creators navigate through specific comment types.

How does it work?

Click on the + Add label button. Once the label is added to the list, click on the default name and enter a new one. You can change the order of labels by dragging them up or down the list. Enable this feature by toggling the switch to Active.

Admins can also decide who can use labels by choosing the appropriate setting in the menu above the label list.

  1. Allow labeling comments (Pro, Business Legacy, & Enterprise editions) - decide who can add labels in your Ziflow account.

  2. Allow labeling on (Standard, Pro, Business Legacy, & Enterprise editions) - select if you allow adding labels only on comments or both on comments & replies.


2. Reactions reactions settings (Pro, Business Legacy & Enterprise editions)

Comment reaction settings are configurable just for Pro, Business Legacy, and Enterprise Editions.

  1. Enable/disable reactions - Administrators can enable or disable specific reactions which will be at reviewers' disposal during the proof review process.

  2. Allow reacting on locked stages/proofs - By default, reviewers are not allowed to post/edit their comment reactions when their stage or whole proof is locked. When stage/proof is locked, the React button will be disabled, and already-added reactions will be greyed out.



3. Other comment Settings

Administrators have the option to use five extra settings that can help them establish the default comment permissions.

  1. Default comment visibility (Enterprise Edition only) - when both public and private comments are allowed, this sets the default visibility for a comment. Users can optionally change the visibility of the individual comments they create.

  2. Allow private replies (Enterprise Edition only) - enabling this feature allows reviewers to add private replies to comment within the proof viewer. These private replies will be visible only to other reviewers from the same workflow stage. This setting can be toggled ON to permit private discussions, enhancing collaboration and privacy within your teams.


    This setting is available only in the new Dashboard 2.0.

  3. Show comments on public URL (Standard, Business Legacy, Pro, & Enterprise) - by switching off this toggle, you will hide all the comments for everyone who opens the proof with the public URL

  4. Enable @AI in comments (Standard, Business Legacy, Pro, & Enterprise) - this assistant uses advanced algorithms to provide additional feedback and suggestions during the review, helping you to improve your work even further. Read more about collaborating with Ziflow AI.

  5. Allow reviewers to comment on locked or skipped stages (Standard, Business Legacy, Pro, & Enterprise) - allows reviewers to add comments and replies on proofs even if a reviewer’s stage is locked, skipped, or not yet started. This enables reviewers to reply to any @mentions on a proof, collaborate with other reviewers, and continue the conversation, regardless of the stage status.

    Note: This will not change a reviewer’s ability to see proofs on the proof lists or in notifications.

  6. Allow resolving comments (Business Legacy, Pro, & Enterprise) - select who is allowed to resolve comments.

  7. Allow deleting comments (Business Legacy, Pro, & Enterprise) - allow who may delete comments.
