Proof and version actions grouped separately

The proof options menu now separates proof-level and version-level actions into two clearly labeled groups: Manage version (move version, split version, copy version ID, lock version, delete latest version) and Manage proof (move proof, duplicate proof, archive proof, delete proof). This reduces the risk of choosing the wrong scope when a proof has multiple versions.

We've also renamed the Disconnect from proof action to Split versions for clarity.

Diagram view opens on the active stage by default

When you view a proof's workflow as a diagram Diagram, Ziflow now selects the first In progress stage automatically. If no stage is in progress, the first stage is selected instead.

Duplicate proof settings default to your last action

Available on: Free Standard Pro Enterprise

When you duplicate a proof, Ziflow now applies the same settings you used the last time you created or duplicated a proof, instead of always defaulting to creating a new version. This matches the behavior you already see when creating a new proof.

Download original files from a failed proof

Available on: Free Standard Pro Enterprise

If downloading original files is enabled on a proof, you can now download the original file even when the proof shows a Failed status, the same as you can for a successfully processed proof. This doesn't apply when the failure itself is why no file exists to download: virus scan failures, inaccessible files, and upload failures.

Font color on the login screen adapts to your background

Available on: Pro Enterprise

When you set a custom background color for your sign-in screen, Ziflow now automatically switches the login page's font between black and white for readability, so a dark background no longer makes text hard to read.

Export checklist templates to CSV

Available on: Enterprise

Administrators who can manage checklist templates can now export checklist items, including sections, descriptions, and AI prompt descriptions, to CSV. Use this to move checklist items between accounts or reuse them as a starting point for a new template.

"Not relevant" option available on checklist items

Available on: Enterprise

Checklist items now support a third option, Not relevant, alongside Pass and Fail, for checks that don't apply to every proof or version. Administrators choose Pass / Not Relevant / Fail when configuring a checklist item's type, and reviewers select Not relevant the same way they select Pass or Fail. Not relevant results count toward the total item count but don't affect the pass/fail percentage.

For ReviewAI users: ReviewAI can now suggest Not relevant for a checklist item on static proofs up to 10 pages, in addition to Pass and Fail (requires an update to your ReviewAI prompt). Editing existing checklist items to add the Not relevant option will reset their reliability scores.

AI summary setting for Live Comments

Ziflow administrators can now turn AI-generated comment summaries in Live Comments on or off independently from other AI features, using the new Summarize live comments with AI setting on the AI Features page. This applies to accounts participating in the Live comments Private Preview.

Clearer column headers in the Checklist CSV export

The Checklist report in CSV exports now labels columns Checklist Item Template ID and Checklist Item Template Name, so the same field is consistent across your export files.
