Dashboard Proof List (Dashboard 2.0)

Add, access, and manage submitted proofs from your dashboard.

Summary: The Proof List is your main navigation window inside the Ziflow application. Any proof that you are associated with is displayed in this window. You can create new proofs, check existing proofs, use filters, and utilize contextual menus to access various features inside the Ziflow application.

Available for: all registered users within the Ziflow application can access their proof list.

How does it work?

Please look at the screenshot below, along with a description of each function.

  1. Views - views management bar where you can easily switch between and manage your favorite views. Read more about views in the following article.

    For moments when you want to see all of the proofs you have access to within a particular folder or workspace, we’ve added a “see all proofs” shortcut. After selecting a folder or workspace in the left navigation panel, click the persistent “home” icon on the far left side of your Saved Views bar to quickly see your proofs without any filters or view settings.

  2. Global search - this feature lets you search for proofs from any page within your Ziflow account. You can enter a word or a phrase, and Ziflow will search all of the latest and previous versions for things like standard & custom fields, version names, file names, reviewers, etc.

  3. Everything - clicking that shortcut will take you to an unfiltered view of all the proofs you can access across all your workspaces.

  4. General workspace - displays all the proofs and folders that have been created within your current Ziflow account, while you are logged in.

  5. Folders - allow you to create an individual structure that will help organize your proofs in a more advanced manner. You can read more about folder functionality in this article. You can switch between the General and Shared workspaces. The General workspace gathers all proofs created in your account, and the Shared workspace has proofs shared from other Ziflow tenants.

  6. Shared workspace - shows proofs and folders from tenants you've been invited to.

  7. Dashboard views - you have the option to choose from three different views to display your proofs. The first is the Grid view, which offers limited proof details but presents them more visually. The second is the List view, which provides a comprehensive overview of each proof and lets you quickly check through many of them on a single page. Finally, there is the Expanded view, which displays the complete workflow of each proof in a list format.


    Ziflow administrators can also decide what should be a default dashboard view inside the general account settings.

  8. Advanced filters enable you to create and save custom filter sets, which will help quickly identify the proofs you're searching for. You can read more about custom filters in this article.

  9. Columns - to display additional details on your proof list, click the button that reveals a list of available columns. From there, you can select the columns that are relevant to your needs. For more information on creating custom views, please refer to this article.

  10. Proof search - filters by proof name in addition to the existing filter.

  11. Proof counter - shows how many proofs are currently displayed on each page, along with the total number of pages.

  12. Create a new folder/proof - quickly add a new proof of a folder. Please refer to Creating a New Proof or Using Folders for more information.

  13. Bulk actions - a menu that allows you to perform changes on multiple proofs in one go. Start selecting proofs by left-clicking on them while holding Shift/Ctrl, and you'll see proofs being selected and added to the bulk modal. Actions you can perform with a bulk change include moving to a folder, archiving, sharing a proof, editing custom properties, changing the proof owner, etc.

  • Please note that the Proof List page may not display all the options in this document. It will vary depending on what edition you are on and the proof settings you have applied.
