Create dashboard views

Create and save customized views so you can quickly find and manage proofs.

Available on: Free Standard Pro Enterprise

  • The view tabs are located above your list of proofs.

    • The number next to the view icon shows how many proofs meet the view’s filter criteria.
    • Drag and drop views in the bar to reorder them.

    Add new views

    1. Select Filter to open the filter menu.
    2. Select + Add filter and choose the filters you want to use.

    3. Click Save as a new view and name your view.

      Available filters include:
      Archived, Date, Folder, Locked, Name, Owner, Proof status, Source, Stage, Reviewer, Version, Next deadline, Custom property

    To create a new view based on an existing one:

    1. Hover over the view, select the three dots, and choose Duplicate 
    2. In the new view, select the three dots again and choose Rename.
    3. Edit the name and press Enter accept the change.
    4. In the new view, select Filter and adjust its filters and save it.

    Manage your views

    To access all views in your account, both private and public, select the + located in the views menu.

    Admins and managers: can see all private and public views.

    Users: can see their own views and all public ones.

    From this level, users may view and manage their filters.

    Select the star next to the views to pin them to your views menu. 

     

    View actions

    Hover over a view name and select the options menu (three dots, or right-click) to see the available actions:

    Standard views

    Standard views are fixed and cannot be altered.

    • Remove from favorites unpins the view from your view menu. 
    • Duplicate the view and customize.
    • Export to CSV (Std Pro Ent) - export the filtered proofs in CSV format. See Export data to CSV.

    Custom views

    • Remove from favorites unpins the view from your view menu.
    • Make private / Make public - Public views (globe icon) are visible to all users invited to your Ziflow account. Private views (key icon) are visible to you and Ziflow administrators and managers can see it. Select to toggle between public and private. 
    • Rename your view.
    • Duplicate the view and customize.
    • Export to CSV (Std Pro Ent) - export the filtered proofs in CSV format. See Export data to CSV.
    • Delete your view - deleted views cannot be restored.

     

    Sorting proofs on your dashboard

    You can sort proofs when using list or expanded views. You can only sort proofs when using a list view or an expanded view that displays specific columns.

    1. Select a column header to sort proofs by that column.

    2. Use the arrow icon to toggle ascending or descending order (e.g., newest vs. oldest).

    3. Select Save.

    See all of your proofs

    Everything view: Click Everything at the top of your folders/workspaces list to see all proofs you have access to, without filters.

    See all proofs in a workspace or a folder: Select a folder or workspace in the left panel, then click the home icon in the views menu.

    Summary: The filter functionality enables users to create and save custom filters. This makes it easy to find proof quickly.


    Available for: every registered user in Ziflow.

    How does it work?

    The custom filter menu is located above the Proof List. Once you click on the filter button, it will expand a window where a new custom filter can be created.

    Adding new filters

    Click on the + Add filter and select the criteria. You can add multiple filters to narrow down the search.

    Once you select the criteria, press the save icon in the upper right corner. If you click on Done, it will be a one-time search.

    Next, enter the name of the new filter. If you choose to make this filter private, it will only be visible to you and the administrators. Otherwise, all users will have access to the filter. Click the Create button, and the custom filter will be saved to your filters list.

    There is a variety of filters that you can choose from:

    • Archived

    • Date

    • Folder

    • Locked

    • Name

    • Owner

    • Proof status

    • Source

    • Stage

    • Reviewer

    • Version

    • Next deadline

    • Custom property

     

     

    Filter list

    All filters in your account (private and public) can be accessed from the filter menu by clicking on the arrow.

    Administrators will see all the filters inside the account. Users will have access to their own filters and all public ones.

    Favorites - each user can mark any filter as a favorite by clicking on the star next to the filter's name. Once the filter is marked, it will be added to the “Favorites list” in the left menu.

    Editing/deleting filters

    To manage your filters, click the arrow and hover over the filter name you want to edit/delete. Click the trash icon to delete the filter.

    To edit the filter, click on the pencil icon. The Edit window will appear, and you can adjust the filter according to your needs.
