Using the Ziflow Legacy Viewer

Dashboard v1 and Proof Viewer v1 retire on September 30, 2026. Move to Dashboard v2 and Proof Viewer v2 before then.

Summary: Legacy Proof Viewer is the main part of Ziflow. It allows reviewers to review and submit decisions for uploaded assets. Various built-in features will allow proof reviewers to assess creatives, leave feedback & make decisions. This document is a great starting point for any reviewers who were invited to collaborate on a proofing project in Ziflow.

Available for: Ziflow Proof Viewer is available for each reviewer invited to the proof. There are no limitations; simply click on a proof invitation and start collaborating with others on the project.

Reviewers may or may not see certain buttons depending on the proof permissions they have been granted.

How does it work?

Ziflow Legacy Viewer tools

Exit button in the Legacy Viewer 1. Exit Click to exit the Proof Viewer.
Folder button in the Legacy Viewer 2. Folder This feature allows reviewers to quickly switch between proofs residing in the same folder from within the Proof Viewer. See "Folders in Legacy Proof Viewer"
Proof Details button in the Legacy Viewer 3. Proof Details Click to view details about the proof. See “Proof Details Page” for more details.
Share proof button in the Legacy Viewer 4. Share Proof Click to share the proof with reviewers.
Change proof notification button in the Legacy Viewer 5. Proof Notification options Click to change your proof notification setting. See “Changing notification preferences in Legacy Proof Viewer” for more details.
Lock/unlock button Share proof button in the Legacy Viewer 6. Lock / Unlock Proof Click to lock or unlock the proof (only visible for “Proof Owners” or users with “Manage” rights). See “Manually locking & unlocking proofs” for more details.
Download original file button in the Legacy Viewer 7. Download the original file This will let you download the original proof file/s locally on your device. This button will be displayed only when if the corresponding setting is applied during proof creation. on
Export comments to PDF button in the Legacy Viewer 8. Export comments to PDF If your review and approval process includes exporting records of proofs for historical or auditing purposes, Ziflow supports the PDF export. See "Exporting comments to PDF."
Switch version dropdown in the Legacy Viewer 9. Switch version Click to see all versions of the proof - old versions will have a padlock beside them, meaning they can be displayed but cannot be changed. Select the version you wish to display.
Create new version or proof buttons in the Legacy Viewer 10. Create Version or new Proof Click to either create a new proof version or create a new proof - (only visible for “Proof Owners” or users with “Manage” rights). See “Uploading a new proof version” for more details.
Compare mode button in the Legacy Viewer 11. Compare mode Click to enter comparison mode. ​ See “Comparing Proof Versions” for more details.
Submit decision or Finish review button in the Legacy Viewer 12. Finish review / submit decision Users with comment-only rights will see a “Finish Review” button. Users with decision permissions will see a “Submit Decision” button - click to select your decision. See “Finishing a Review & Understand Proof Decisions” for more details.

Comment section button in the Legacy Viewer 14. Comments Click to see comments and markup tools. See “Markups, comments & attaching files” for more details.
Legacy Viewer settings button 15. Proof Viewer settings Each reviewer is able to adjust the Proof Viewer settings, such as comment layout, comment pins, compare mode defaults and dark mode theme to their individual preferences. See "Proof Viewer settings"
Text search button in the Legacy Viewer 16. Text Search When a spelling mistake is made, it’s possible to occur in multiple places on a proof. With the “Text Search” feature, reviewers will be able to look for the same words or sentences throughout the whole text. See "Text Search"
Page thumbnails button in the Legacy Viewer 17. Page Thumbnails Click to reveal or hide the page thumbnails (only displays on proofs that have more than one page or multiple files in a proof).
Page view mode in the Legacy Viewer 18. Page view mode Every reviewer is able to decide how multi-page proofs are displayed inside the Proof Viewer. See "Single, Continous & magazine layout."
Next page or Previous page button in the Legacy Viewer 19. Next Page / Previous Page Scroll through the pages by clicking on the next page or the previous page.
Proof navigator in the Legacy Viewer 20. Proof Navigator The Navigator provides a mini-preview of the proof page and highlights what part of the page you are viewing with a RED box. You can move the red box around in the Navigator window to pan around the proof.
Measurement tool button in the Legacy Viewer 21. Measurement Tool Click the measurement tool to reveal the measurement pallet See “Measurement tool” for more details.
Panning mode button in the Legacy Viewer 22. Panning mode Panning mode allows you to click and drag the proof around the proof window. When a panning mode is activated, the hand turns blue. If it is deactivated, it will be black. If you select the measurement tool or any markup tool, the panning mode will automatically be deactivated.
Rotate button in the Legacy Viewer 23. Rotate Click to rotate the proof image by 90 degrees.
Fit proof to window in the Legacy Viewer 24. Fit proof to window This is a shortcut to automatically let Ziflow resize the proof to best fit in the proofing window.
Marquee zoom button in the Legacy Viewer 25. Marquee zoom Click to enter marquee zoom mode. Then please click and hold a left mouse button over the proof. Select which part of the proof you want to zoom in. Once you click the mouse button, the selected part of the proof will be zoomed in.
Increase or decrease zoom level in the Legacy Viewer 26. Increase / Decrease zoom level slider Slider to zoom in and out of the proof.
Zoom level drop-down menu in the Legacy Viewer 27. Zoom level drop-down menu The popup menu allows you to pick a zoom level from a predetermined list of options.

Additional Information:

  • If you hold the ctrl or apple key down, the mouse scroll wheel will zoom in and out.
