Proof owners can add reviewers and assign specific permissions when creating or editing a proof review. Permissions define a reviewer's level of access and actions within a proof depending on their role (user or guest).
The owner can add reviewers and set their permissions when creating or editing proofs or versions.
-
Reviewer permissions are set within each stage, under the Reviewers section. As reviewers are added, the proof owner selects the appropriate permissions. These settings can also be updated at any time during the review process. For more information, see Add / remove reviewers or edit reviewer settings in a proof review.
Permission Description Comment Allows reviewers to add annotations and comments to the proof.
They can also delete their own comments, as long as the proof is not locked.
Approve Grants the ability to submit or revoke a decision.
Reviewers with this permission contribute to the final decision for a stage or the entire proof.
Manage (Ziflow users only) Enables users to upload new proof versions, lock/unlock the proof, delete versions or other users’ comments, and change proof settings.
They can also view all comments, including public and private ones.
Share (Guests only) Allows guest reviewers to forward the proof to other participants. Proof owner Automatically assigned to the user who creates the proof. Owners have all permissions by default.
Comment and Approve permissions can be disabled if the owner doesn’t need to take part in feedback or decision-making (e.g., an Account Manager sending a proof to a client).
To transfer ownership, see Transferring Account Owner Role.
Notes:
Guest reviewers can only view, comment, and make decisions. They cannot manage proofs, as they are not registered users in your Ziflow account.
Proof owners always have Manage and Share permissions enabled by default. "Manage" can be toggled off by the owner; "Share" can only be changed by the proof owner.
Guest reviewers access the proof only via the invitation email link, which opens directly in the Proof Viewer.

Where is the feature setup? Within the stages under the Workflow section. As reviewers are added, the proof owner will assign the appropriate permissions for each one.How does it work?
Below is a description of the permissions.View - This means that the user can only view the proofs and has no rights to markup, comment, reply to comments, make decisions, or manage proofs. This setting is typically used for someone who just needs an FYI on proof or on a project's progression.
Comment - This permission allows the user to markup and comment on a proof. The reviewer can also delete their own markups and comments, providing the proof has not been locked.
Decision - This permission allows reviewers to submit a decision on the proof and also revoke it. A reviewer with decision rights takes part in calculating the final decision for a review stage or the whole proof.
Manage (user reviewers only) - This permission allows users to add new proof versions, delete versions, lock and unlock the proof, delete other users' comments, and edit proof settings. Reviewers with this permission can also see all comments added to an asset, including private comments.
Share (guest reviewers only) - This allows guest reviewers to share the proof with other participants.
Proof Owner - This role is automatically assigned to the user who creates the proof. By default, the owner is granted all permissions. Comment and Decision rights can be turned off if the proof owner does not need to be involved in that part of the process (for example, this could be an Account Manager who is sending the proof to a client for feedback, decisions, etc.).
*Please Note: If you add a guest reviewer, they will only be able to view, comment, and make decisions on a proof. They cannot "manage" proof because they are not a registered user in your Ziflow account.
Guest reviewers can only access proof via the link in the invitation email. This will take them directly into the Proof Viewer.
