Summary: Understanding the different proof permissions is vital for any proof owner to apply the appropriate permissions for each reviewer.
The owner can add reviewers and set their permissions when creating or editing proofs or versions.
-
Where is the feature setup? Within the stages under the Reviewers section. As reviewers are added, the proof owner will assign the appropriate permissions for each one.
How does it work?
Below is a description of the permissions.
Comment - The user can add annotations and remarks to a proof with this permission. Additionally, the reviewer can remove their annotations and comments as long as the proof is not locked.Approve - This permission allows reviewers to submit a decision on the proof and also revoke it. A reviewer with approve rights takes part in calculating the final decision for a proof stage or the whole proof.
Manage (user reviewers only) - Users with this permission can add new proof versions, delete versions, lock and unlock the proof, delete comments made by other users, and modify proof settings. In addition, reviewers who possess this permission can view all comments posted on a proof, including those that are public.
Share (guest reviewers only) - This allows guest reviewers to share the proof with other participants.
Proof Owner - This role is automatically assigned to the user who creates the proof. By default, the owner is granted all permissions. Comment and Decision rights can be turned off if the proof owner does not need to be involved in that part of the process (for example, this could be an Account Manager who is sending the proof to a client for feedback, decisions, etc.).
*Please Note: If you add a guest reviewer, they will only be able to view, comment, and make decisions on a proof. They cannot "manage" proofs because they are not a registered user in your Ziflow account.
For proof owners, both "Manage" and "Share" permissions are selected and deselecting these options is disabled. Users can toggle "Manage," while "Share" remains disabled unless enabled on their behalf by the proof owner.
Guest reviewers can only access the proof via the link in the invitation email. This will take them directly into the Ziflow Viewer.

Below is a description of the permissions.View - This means that the user can only view the proofs and has no rights to markup, comment, reply to comments, make decisions, or manage proofs. This setting is typically used for someone who just needs an FYI on proof or on a project's progression.
Comment - This permission allows the user to markup and comment on a proof. The reviewer can also delete their own markups and comments, providing the proof has not been locked.
Decision - This permission allows reviewers to submit a decision on the proof and also revoke it. A reviewer with decision rights takes part in calculating the final decision for a review stage or the whole proof.
Manage (user reviewers only) - This permission allows users to add new proof versions, delete versions, lock and unlock the proof, delete other users' comments, and edit proof settings. Reviewers with this permission can also see all comments added to an asset, including private comments.
Share (guest reviewers only) - This allows guest reviewers to share the proof with other participants.
