Sort comments and filter based on reviewer stage, text, and labels making managing comments a cinch.

Summary: If a proof contains a large number of comments, reviewers may want to use the filter feature to find specific comments quickly.

Available for: All reviewers that have been invited into the proof and approval process. Each reviewer is able to set their own filters.

Where is the feature setup? The filter and view buttons are located above the comments box inside the Proof Viewer.

Filtering comments

Click on the Filter button, and the filter menu will be displayed:

  1. Filter in - decide if you want to filter just comments or if you want to look through comments & replies.

  2. Comments - allows filtering between public and private comments.

  3. Reviewer - this option allows you to see all comments made by a specific reviewer (it considers only reviewers with comment rights).

  4. Stage - this option will filter all comments within a specified stage.

  5. Contains - with this filter, you can type a word or any string of words to identify all comments/replies that contain the defined search criteria.

  6. Filter by label - shows comments with particular labels.

  7. Filter by reaction - using this filter allows reviewers to display comments/replies with specific reactions. Read more about comment reactions here.

  8. Other filters:

    1. @mentioned me - enable if you want to find comments/replies of other reviewers who tagged your name.

    2. Hide resolved - select if you want to hide already resolved comments.

    3. Current page only - this filter will only display comments/replies on the currently displayed page (for static proofs).

    4. Current URL only - with this filter enabled, only comments added on the opened URL are visible on the list.

    5. Liked - lists all comments and replies that someone liked.

  9. Show deleted comments - enable/disable to display placeholders of deleted comments.


Comments settings

Click on the Comments settings button and apply the needed options:

  1. Show avatars - select if you want to show reviewer avatars on the comments list.

  2. Group by assets - decide if comments should be grouped by asset if there are many assets in a single proof.

  3. Show comments as - select how you would like to display comments by default:

    1. Pins - displays just markup pins over the proof image.

    2. Markups - with this setting enabled, reviewers have the option to see every markup and comment that has been made on a proof all at once.

    3. None - hides all markups from a proof. To view a markup, you'll need to open a comment connected to it.

  4. Comment layout - there are three options to choose from:

    1. Compact - displays a full comment list, but you'll need to click on each comment in order to see the replies.

    2. Expanded - displays a full comment list, so you don't have to click on each comment to see the full text.
      Show pins - enabling/disabling this option lets you choose if comment pins should be visible on the proof image.


Sorting comments

You can sort comments using different built-in options:

  1. Date - select if comments should be displayed according to their date.

  2. Page - comments are positioned according to their pin position.

  3. Position - this option displays comments in either a top-down or bottom-up order. In order to view this option the private/public comments need to be enabled on a stage level.

  4. Author - groups up comments by their comment owner/author.

  5. Comment type - you can choose whether to view private or public comments first.


Additional information:

  • The Clear button removes selected filters.

  • When you use any filter in the Comments and replies mode, it will show you the comments that do not match the criteria because they have replies that fulfill them. You can switch from that view to see only the comments and replies that match the filtering criteria. You can then exit the view by clicking on Show all:
