Prepare Microsoft files for proofing

Ziflow processes Office files using the same logic the applications use for printing or exporting to PDF. Your print settings determine how the proof appears.

All Microsoft files

  • As a general rule, if your file can print or export to PDF cleanly, your proof will display correctly in the Proof Viewer.
  • Make sure that the file has public access enabled.
  • Close the file before creating a proof. You may encounter issues if the file is open in the background.

Prepare Excel files for proofing

For the best results, follow these guidelines before creating a proof from an Excel file to help ensure the proof displays cleanly in the Proof Viewer:

  • Format every worksheet you want included in the proof.
  • Set the print area - Define the rows and columns you want visible. Content outside the print area is excluded.
  • Change the page orientation to Landscape - Most spreadsheets are wide. Landscape avoids unnecessary wrapping and truncation.
  • Fit all columns on one page - In Print settings, select Fit all columns on one page to keep data aligned.
  • Save the file after updating settings - Print settings aren’t always applied until the file is saved.
  • [Optional] Update margin settings to be narrow.

Prepare PowerPoint files for proofing

The proof that reviewers see in the Proof Viewer is based on your PowerPoint print and export settings.

  • If your PowerPoint prints or exports to PDF cleanly, it will display correctly in the Proof Viewer.
  • Review slide size, orientation, and scaling before uploading.
  • Treat PowerPoint proofs as static representations. Animations, transitions, and embedded media will not be available for review.

Embedded video in PowerPoint files

Embedded videos in PowerPoint files are not playable in a proof. They are treated as static content during PDF-style rendering.
