Ziflow administrators can configure default Proof Viewer settings for their organization.
These settings control what reviewers see when opening proofs and how they interact with the viewer.
Available on: Free Standard Pro Enterprise
Screen captures reflect the Enterprise edition of Ziflow. You may not see some features or options depending on the proof permissions you have been granted and your Ziflow edition.

Log into Ziflow. Select your user avatar and choose Settings > Proof Settings > Proof Viewer
Proof Viewer settings categories
Proof Viewer settings are grouped into categories:
- Show or hide tools and zoom levels
- Customize help section links (Enterprise)
- Customize live website and rich media settings
- Choose between Proof Viewer and Legacy Proof Viewer
- Other Proof Viewer options
Show or hide tools and zoom levels
Administrators can decide which tools, actions, and zoom levels are available in the Proof Viewer.
Buttons: Disable any tools and actions you don’t want reviewers to use.
Zoom levels: Choose which zoom options appear in the reviewer’s drop-down menu.
Customize help section links
Enterprise
Enterprise administrators can add their own links to the Help menu in the Proof Viewer for all reviewers.
- Open the Proof Viewer settings.
- Under Custom links in the Help section, change the name of the link text and the URL.
- Select the checkbox to show the link in the Proof Viewer.
- Reorder the links by dragging them into the desired order.
- Select Create Custom Link to create new links.
- Test your links in the Proof Viewer.
Customize live website and rich media settings
Field Description Default display size for rich media

Set a default standard size for rich media proofs. Reviewers can change it inside the Proof Viewer. Show browser plugin prompts When reviewing live websites, animated GIFs, and rich media files, a prompt is shown to install the Ziflow browser plugin if missing. Administrators can decide whether to use the Dashboard 2.0 Proof Viewer (new viewer), the Legacy Proof Viewer, or allow users to switch between them.
Enable the options to see in the current Proof Viewer:
- Open static proofs in the new viewer.
- Open video and audio proofs in the new viewer.
- Open rich media and live website proofs in the new viewer.
Select Allow users to switch between viewer versions if you are transitioning from Legacy to the current version of Ziflow.
Other options
Additional Proof Viewer settings let you fine-tune the reviewer experience.
Note: These settings apply account-wide, but reviewers can still adjust their personal viewing preferences while working in a proof.

Std Pro Ent
Allow Ziflow users to navigate through folder structures from the Proof Viewer. Access folders & contents When authentication is required, require login or token-based access. Guests are emailed a token. Access proofs to review When authentication is required, require user login. Guests can’t use this feature. Warn reviewers of unsaved comments Prompt users before leaving a comment unsaved. Use vector-based text Improve text quality in static proofs even when zoomed in.
When enabled, some types of content, for example, static websites, may not display correctly within the Proof Viewer. If this happens, disable the setting and try again.
Create color separations
Pro Ent
Allow reviewers to measure color density. See View color separations in the Proof Viewer. Preserve PDF Markups in Proof Enable to display markups and annotations from the original PDF to display in the Proof Viewer. If your PDF includes layers, this may also help retain the content. See Common upload and proof issues. Show original image Display original JPG, PNG, or BMP instead of proof tiles. This is where account admins will establish defaults for the Proof Viewer settings. To start adjusting Proof Viewer settings, please go to Settings -> Proofing Settings -> Proof Viewer, as shown in the screenshot below.
Proof Viewer settings are divided into four categories:
1. Set the buttons & zoom levels as visible or hidden
If you want to hide some of the Proof Viewer buttons, just expand the list of available actions/features and disable the ones that you don't need.
You can also decide what zoom levels will be available for your reviewers to choose from a drop-down in Proof Viewer.
2. Custom links in the Help section
You can customize links placed in Ziflow Viewer by editing the fields listed below:
These settings will be reflected in your Ziflow Viewer:
3. Ziflow Viewer vs Legacy Ziflow Viewer
You have a few options for choosing whether and how to use Ziflow Viewer or the old Legacy Ziflow Viewer.
Open static proofs in the new viewer - select if your reviewers should view static proofs in a new viewer by default.
Open video and audio proofs in new viewer - select if your reviewers should view video/audio proofs in a new viewer by default.
Open rich media & Live websites proofs in new viewer - select if your reviewers should view video/audio proofs in a new viewer by default.
Allow users to switch between viewer versions - decide if your reviewers can switch between the new and old Proof Viewer.
4. Other Options
There are a couple of other settings related to Ziflow Viewer that you can modify:
- Default theme - allows admins to set the default mode for the Proof Viewer - Dark Mode or Light Mode - to better align with user preferences.
Page thumbnail opens (Standard, Pro, Business Legacy, and Enterprise) - select this option if you want to have the page thumbnail sidebar opened in Proof Viewer by default. The reviewer will still be able to hide it if necessary.
Browse folders (Standard, Pro, Business Legacy, and Enterprise) - allows Ziflow users to browse through the folder structure in Ziflow Viewer.
Access folders and contents (Standard, Pro, Business Legacy, and Enterprise) - when authentication is required: Users will be asked to log in, and Guests will be emailed a token.
Access proofs to review (Standard, Pro, Business Legacy, and Enterprise) - when authentication is required: Users will be asked to log in, Guests do not have access to this feature. Read more about the next proofs to review functionality.
Warn reviewers of unsaved comments (all Ziflow editions) - this setting will notify the reviewer when he tries to leave the add comment box without previously saving it.
Live websites: Force proxy for all websites (all Ziflow editions) - HTTP (non-secure) sites will always be loaded in the viewer using our proxy servers and ignore this setting. For HTTPS (secure) sites that require authorization, you should disable this setting and ensure your site allows it to be embedded.
Live website: URL rewriting (all Ziflow editions) - automatically changes links in proofed web pages from absolute to relative paths. You can read more about this in FAQ: Why is my live website proof not loading correctly in the viewer?
Show browser plugin prompts (all Ziflow editions) - when reviewing live websites, animated GIFs, and rich media files, a prompt is shown to install the Ziflow browser plugin if missing.
Use Vector-based text (all Ziflow editions) - to improve the quality of static proofs in the viewer, you can use vector graphics for text. The result is a much-improved level of quality when reviewing proofs, no matter the zoom level. Please note that with this setting enabled, some types of content, for example, static websites, may not be displayed correctly within the Proof Viewer. If your website proof doesn't look right, please try temporarily disabling the setting and try proofing your website again.
Create color separations (Pro, Business Legacy, and Enterprise) - enable this option if you want your reviewers to have the possibility to measure color density to make sure that a specific spot has the appropriate density of a specific panton. Read more about color separations in the following article.
Default content for rich media (Pro, Business Legacy, and Enterprise) - you can decide on a default content size for rich media proofs. Reviewers will still be able to change it inside the Proof Viewer.
Show original image (all Ziflow editions) - this setting forces the Proof Viewer to show the original image (JPG, JPEG, PNG, BMP) instead of proof tiles.
AV - during playback show markup for (all Ziflow editions) - decide how long comment markups should be displayed when audio/video proofs are playback.
