Proof Viewer: Streamlined Decision modal for Decision Reasons
With this release, we’ve introduced a redesigned Decision modal that optimizes screen space and guides reviewers through a clearer, more sequential process when Decision Reasons are enabled. Previously, the modal could become overly large as it displayed all decisions and their associated reasons in a single view.
Now, the decision-making process is broken into clear, manageable steps:
- Selecting the stage (where/when applicable)
- Choosing the decision
- Selecting the decision reason
A 'Back' button is available at each step, allowing reviewers to easily move to the previous step to make changes. This minor UI change is designed to maximize the screen space within the Proof Viewer—specifically when using Decision Reasons—making for a more guided and intuitive experience.
Now Generally Available: Checklists
Checklists, a powerful feature for enforcing compliance and quality standards within the proofing process, is now generally available to all customers on Enterprise plans. This feature allows administrators to define a set of questions or criteria that reviewers are encouraged to complete before they submit a decision on a proof. Key capabilities include:
- Customizable structure: Create comprehensive checklists with multiple sections, HTML-based descriptions, and flexible requirements—allowing for either a basic confirmation (“check”) or a specific pass/fail result for each item.
- Contextual feedback: Reviewers can link comments directly to a specific checklist item, and comments can be filtered by checklist item to focus only on the relevant feedback.
- Eliminate a cold start: Pre-built sample checklists can be used immediately, or craft a checklist in a spreadsheet and copy/paste the rows/columns into the checklist editor to serve as a starting point.
Checklists ensure consistency across all reviews, standardize approval criteria, and provide a clear, auditable trail that all required checks have been performed before content is finalized.

Now Generally Available: Import embedded comments from PDFs
The ability to import embedded comments from PDFs is now generally available, enabling teams on Enterprise plans to seamlessly integrate existing feedback from marked-up PDF files directly into their Ziflow proofs. This feature significantly streamlines the process of consolidating review data. Key capabilities include:
- Seamless integration: After creating a proof from a PDF file with external comments (such as from Adobe Acrobat), Ziflow can automatically detect and grant the user the ability to import this feedback.
- Comprehensive data transfer: All imported comments are converted into standard Ziflow comments, preserving the original comment text and location on the proof.
- Accountability and tracking: Comments are attributed to the user who imported them and are visible within a proof’s activity log, ensuring outside feedback is included in a proof’s audit trail.
Moving this feature to General Availability eliminates the need for manual re-entry of comments, saving significant time and ensuring that Ziflow functions as the central source of truth for all creative feedback.

Now Generally Available: Ziflow’s Figma extension
Ziflow’s Figma Extension is now generally available, allowing design teams to seamlessly initiate the proofing process directly from their Figma environment. This powerful extension connects your design workspace to Ziflow, making it faster and simpler to get creative work into review. Key capabilities include:
- Direct proof creation: Instantly create a new Ziflow proof—or a new version of an existing proof—from your Figma file, frame, or page directly within the Figma interface.
- Seamless hand-off: Eliminate the manual steps of saving, exporting, and uploading files, ensuring the latest design version is always sent for review with the click of a button.
- Version control: Uploading a proof into Ziflow captures a moment in production time, making it far easier to capture feedback, control versioning, and understand how a design has evolved, unlike sharing a link to a live Figma production environment which could always change.
Moving the Ziflow Figma Extension to General Availability streamlines the creative hand-off process, significantly reducing friction between design and review teams and accelerating time-to-market.
