Manage comments, labels, and reactions

Ziflow administrators can configure defaults for comment settings reviewers see in the Proof Viewer and can also add comment labels and reactions that are useful for organizing review comments.

Select your user avatar, and go to Settings > Proofing Settings > Comments.

Add and manage comment labels

Available on: Business Legacy, Standard Pro Enterprise

Ziflow administrators can add and manage labels. These labels help reviewers, and proof creators navigate through specific comment types.

  1. Log into Ziflow as an administrator and go to Settings > Proofing Settings > Comments. 

  2. Under Labels, select + Add label and enter a label name. You can change the order of labels by dragging them up or down the list. 

  3. Enable the label, by selecting Active next to the label name.

  4. Decide who can use labels by choosing the appropriate setting above the label list.

    • Allow labeling comments (Business Legacy, Pro Ent) - set who can use labels in the Proof Viewer.

    • Allow labeling on (Business Legacy, Std Pro Ent) - select if you allow adding labels only on comments or both on comments and replies.


Configure comment reactions

Comment reaction settings are configurable.

Comment Reactions settings
  1. Enable/disable reactions - Administrators can enable or disable specific reactions which will be at reviewers' disposal during the proof review process.

  2. Allow reacting on locked stages/proofs (Ent)- By default, reviewers are not allowed to post/edit their comment reactions when their stage or whole proof is locked. When stage/proof is locked, the React button will be disabled, and already-added reactions will be greyed out.


Set comment default to public/private

Available on: Enterprise

Default comment visibility sets the default visibility for all comments to public and private. Users can change the visibility of the comments they create in the Proof Viewer. 

Enable private replies 

Available on: Enterprise

Set Allow private replies to ON to allow reviewers to add private replies to comments in the Proof Viewer that are only visible to other reviewers within the same workflow stage.

Set show/hide comments on public URL 

Available on: Business Legacy, Standard Pro Enterprise

This setting allows you to show/hide all comments for everyone who opens the proof using the public URL.

Enable @AI (Comment assistance) in comments 

Available on: Business Legacy, Standard Pro Enterprise

Enable @AI to provide additional feedback and suggestions during the review. Read more about Use comment assistance.


Allow users to comment when stage is locked, skipped, or not started

Available on: Business Legacy, Standard Pro Enterprise

Use this setting to allow reviewers to add comments and replies on proofs during any stage status. Regardless of the stage status, reviewers can:

  • Reply to any @mentions on a proof,
  • Collaborate with other reviewers, and
  • Continue the conversation

Disabled: Comments on locked/skipped stages are not allowed.

Comments and replies: Comments and replies on locked/skipped stages are allowed.

Only replies: Replies on locked/skipped stages are allowed.

This setting will not change a reviewer’s ability to see proofs on the proof lists or in notifications.


Set user permissions to resolve or delete comments

Available on: Business Legacy, Pro Enterprise

Use Allow resolving comments and Allow deleting comments to set which user types have permission  to resolve or delete comments. Choose the user type or Disabled from the drop-down lists.
