    How does it work?


    Above the list of proofs, you'll find the views bar. To switch between standard and custom views, simply select the desired items from the views list.

    As you switch between views, you'll observe that the figure beside the view icon alters. This digit indicates the precise count of proofs that fulfill the criteria specified within the view's filters.

    Adding new views


    To add a new view, open up a filter menu (containing various types of filters) and start selecting required filters. Once you're ready to complete the view, click on the Save as a new view button and give your new view a name.

    Users can also create new views based on existing ones. Simply select the desired view to use as a template. It can be any of your created views (in my example, it is Angies' proofs), as you can modify it later.

    There is a variety of filters that you can choose from:

    • Archived

    • Date

    • Folder

    • Locked

    • Name

    • Owner

    • Proof status

    • Source

    • Stage

    • Reviewer

    • Version

    • Next deadline

    • Custom property

    To access all views in your account, both private and public, simply click on the + button located in the views menu.

    Ziflow administrators and managers are granted access to all views within the account. On the other hand, users can view their own views and all public ones.

    From this level, users may view and manage their filters. If some views are used more often than others, pinning them to the favorite bar might be a good idea.

    Views actions


    There are various view actions available to manage your profile views effectively. Standard views are fixed and cannot be altered, limiting the changes you can make. However, with custom views, you have complete control.

    To open up the view actions menu, hover your mouse over the view name and click the three-dot button to access a contextual menu (or right-click on it).

    • Remove from favorite / Add to favorite - pins or removes a view to your views lists.

    • Duplicate - copies the whole view configuration and adds it to your views list

    • Export to CSV - exports the current view proof details into a CSV format file. Read more about this feature here.

    • Remove from favorite / Add to favorite - pins or remove a view from your views lists.

    • Make private / Make public - toggle, which can be used to make the view publicly accessible (all users invited to your Ziflow account) or make it private (only you and Ziflow admins/managers can see it).

    • Rename - a quick and easy way of updating a view name.

    • Duplicate - copies the whole view configuration and adds it to your views list.

    • Export to CSV (Standard, Pro, Business Legacy & Enterprise only) - exports the current view proof details into a CSV format file. Read more about this feature here.

    • Delete - removes a view. The view cannot be restored in any way.


    Sorting proofs on your dashboard

     

    Having the option to sort proofs in your view adds an extra layer of organization for displaying projects in a specific order.

    You can only sort proofs when using a list view or an expanded view that displays specific columns.

    To sort proofs in your view, left-click on the column you want to use for sorting. The list will refresh, and the proofs will be sorted accordingly.

    You'll see an arrow icon next to the selected column when sorting proofs. This icon has two positions, up and down, indicating the order in which you want to display the proofs. For example, if you choose to sort by the "Created date" column, the arrow will show whether you want to see the newest or oldest proofs first.

    See all of your proofs


    Sometimes, you want to see every proof you can access within your dashboard without any filters applied. For those moments, we’ve added an “Everything” button at the top of the list of folders and workspaces. Clicking that shortcut will take you to an unfiltered view of all the proofs you can access across all your workspaces.

    For moments when you want to see all of the proofs you have access to within a particular folder or workspace, we’ve added a “See all proofs” shortcut. After selecting a folder or workspace in the left navigation panel, click the persistent “home” icon on the far left side of your Saved Views bar to quickly see your proofs without any filters or view settings.

    How does it work?

    The custom filter menu is located above the Proof List. Once you click on the filter button, it will expand a window where a new custom filter can be created.

    Click on the + Add filter and select the criteria. You can add multiple filters to narrow down the search.

    Once you select the criteria, press the save icon in the upper right corner. If you click on Done, it will be a one-time search.

    Next, enter the name of the new filter. If you choose to make this filter private, it will only be visible to you and the administrators. Otherwise, all users will have access to the filter. Click the Create button, and the custom filter will be saved to your filters list.

    All filters in your account (private and public) can be accessed from the filter menu by clicking on the arrow.

     

    Administrators will see all the filters inside the account. Users will have access to their own filters and all public ones.

    Favorites - each user can mark any filter as a favorite by clicking on the star next to the filter's name. Once the filter is marked, it will be added to the “Favorites list” in the left menu.

    Editing/deleting filters

    To manage your filters, click the arrow and hover over the filter name you want to edit/delete. Click the trash icon to delete the filter.

    To edit the filter, click on the pencil icon. The Edit window will appear, and you can adjust the filter according to your needs.
