Find your proofs

  • You can locate proofs in several ways depending on what information you have, such as the proof name, metadata, reviewer, or the folder where the proof is stored.

    Search by name

    Use Search by name to search for the proof title in a specific view tab. 

    Select the view tab in your dashboard and enter the name of the proof you are looking for. 

    The proof appears in the results only if the search word or phrase exists in the proof name.

    Example: If you search for Stockholm, the proof appears only if Stockholm is part of the proof name.

    Search proofs 

    The Search proofs option (located in the top-left corner of the dashboard) is a global search to find proofs by names and metadata, including:

    • Current and previous proof versions

    • File names

    • Version names

    • Reviewers

    • Custom properties (Enterprise)

    • As part of custom properties, you can search by asset tags if you have configured them in your Ziflow account. Ziflow displays asset tags when you create multi-select lists in your custom properties and include the tags in search. 

    Examples:

    • If Acme is stored in a custom property you created such as Company Name, any proofs with that property appear in the results when you search for Acme.”

    • Enter a reviewer name to find all proofs with that reviewer.

    • Enter the stage name or version name

    • Enter the asset name included in a proof

     

    1. Select the Search proofs field at the top of the navigation pane to open the Search window.

    2. Start typing in the search field and Ziflow will begin searching for proofs that match the text. This can be a proof name, a reviewer name, or a custom property for example.
      If you enter multiple search terms, Ziflow searches for them as OR conditions. For example: 6632 bird returns proofs that contain 6632 or bird. Asset tags are also considered OR conditions.
      To search for a phrase, use quotation marks. For example, "spring campaign".

    3. You can choose to include Archived proofs or to search through all versions created in your account.
    4. Select Show all matches to open view the proofs in the Dashboard.

       

    Search using view tabs

    You can locate proofs by applying filters to new or existing view tabs in the dashboard.

    Find archived proofs

    Archived proofs are hidden from the main proof list by default.

    To view archived proofs:

    1. Open the Filters panel.

    2. Select the Archived filter.

    3. Toggle the selector to On.

    You can also hide archived proofs again by clearing this filter.

    Find trashed proofs

    Proofs that have been deleted are moved to the Trash.

    To view trashed proofs:

    1. Open the Trash view.

    2. Browse or search the proofs in the trash.

    From there, you can review or restore proofs if needed. For more information, see Restore deleted proofs.

     

     
  • Global Search lets you find proofs in your Ziflow account. You can search by a word or phrase, and Ziflow checks both current and previous proof versions for matching information such as file names, version names, reviewers, standard fields, and custom fields.

    Where is the feature setup? The magnifying glass icon is located near your profile avatar.

    How does it work?

    Once you click on the global search icon, start typing in the text field, and Ziflow will begin searching for projects that match the text. If you click on the Search button, Ziflow will display a list of proofs that meet the criteria.

    Global elastic search

    Global search has some built-in improvements that help to find the best matches:

    1. You can look through all archived proof projects by checking the Archived proofs checkbox. You can also search through "All Versions", as well.

    2. In addition, you can search using custom tags (if these have been set up in your Ziflow account).
