Add custom proof properties and tags

Custom proof properties let you tag proofs with metadata that reflect your business or workflow needs, such as project name, client, billing code, asset type, or issue.

These properties make it easy to filter your proof library, create custom views, and sort content efficiently.

Available for: Administrators on Enterprise

    To view properties, go to Settings > Proof Settings > Properties.

    Add custom properties

    1. Log into Ziflow. Select your user avatar and choose Settings > Proof Settings > Properties.
    2. Select Add group to create a property group containing a set of custom properties.

      This group is disabled by default and doesn't have any properties yet.
    3. To add a group, select Property group, enter a property group name and select the blue checkmark.

    4. Select Add Property and create custom properties.

      Name The name of your property (e.g., Client, Project Name, Project Leader, Review type).
      Hint A description to help proof creators understand the property’s purpose. This hint will be displayed as a tooltip near the property name.
      Group The Property group that this property belongs to.
      Make this property mandatory Enable this to make the property mandatory when users create a proof.
      Visible Show or hide this property during proof creation. Useful for disabling a property without removing it entirely.
      Field type

      Choose from eight field types, depending on how you want users to enter or select information:

      Single-line text – For short text entries 

      Multi-line text – For longer text or notes

      Number – Accepts only numeric input

      Checkbox – Create options that users can select

      Radio buttons – Let users select one option from a fixed list

      Date – Adds a calendar picker for selecting dates

      Single-select list – Users select one value from a predefined list

      Multi-select list - Users can select multiple value from a predefined list. See Add Tags.

      User  – Choose a user from your account or team.

      Value Configure value options of the property. If you select the checkbox field type, you will need to define what options the proof creator can choose from during proof creation. You can add those values one by one or load them as a list.
    5. Select Create to add the property to the property group.
    6. On the Properties page, toggle the property group to make it available. 
      To make properties visible during proof creation, both the property group and at least one property within it must be activated.

    Notes:

    If the group is active but no properties within it are, nothing will appear.

    If properties are active but the group is not, nothing will appear.

    Make sure both are turned on to display custom fields in the proof creation workflow.

    When properties are created and active, all users will see a Properties section during the proof creation process.

    Add tags

    The multi-select list property lets you add custom tags. Using colored tags is an easy way to save more custom information using one list. When configuring a new custom property, choose Multi-select list from Field type.

    New values color Define one default color for all added values or select the random option
    Allow users to create new values Allow users to add new values
    Include values in search results Enable searching for tags using the global search feature
    Values list Values added to the property. You can switch the order, edit color, enable/disable values, or delete them.

    Once the property is added and enabled, your users can select the added values during the proof creation process and/or add new ones to the list if the proper setting is applied.

    Adding custom properties

    Start by creating a property group containing a set of custom properties. Click the + Add group button to add a new empty group to the properties screen.

    This group is disabled by default and doesn't have any properties yet. Click on Property Group, then add your specific property group name.

    Next, click on Add Property to begin creating custom properties.

    1. Name - name your property (e.g., Client, Project Name, Project Leader, Account Manager).

    2. Hint - type a quick description to help proof creators understand the property’s purpose. This hint will be displayed as a tooltip near the property name.

    3. Group - select a group to which this property will belong.

    4. Make this property mandatory - by enabling this option, you will force proof creators to select a property setting during proof creation.

    5. Visible - this determines whether or not this property will appear in the proof creation workflow. This option is handy when you want to switch off a property.

    6. Field type - There are eight types of fields that you can choose from: Single-line text, Multi-line text, Number, Checkbox, Radio, Date, List, and User.

    7. Value - configure value options of the property. If you select the checkbox field type, you will need to define what options the proof creator can choose from during proof creation. You can add those values one by one or load them as a list.

    When you hit the Create button, the property will be added to the pre-defined property group. Please remember to toggle the property group on if you want to enable it for your users. A couple of things to keep in mind:

    1. Nothing will display on the proof creation page if the property group is activated, but no properties within that group are activated.

    2. If the properties within a group are activated, but the property group is not activated, nothing will display on the proof creation page.

    The property group and at least one property must be activated to display on the proof creation page.

    From this point, all users will go through the new step (Proof Properties) during the proof creation process.

    Adding Tags

    The multi-select list property lets you add custom tags. Using colored tags is an easy way to save more custom information using one list. When configuring new custom properties, choose a Multi-select list field type from a dropdown.
