Enable proof numbering

Proof numbering assigns a short, sequential number to every proof in your account so you can reference, report on, and search for proofs using it. Once you turn on proof numbering and choose a prefix, Ziflow starts assigning numbers automatically. Ziflow backfills proof numbers for all historical proof groups. Older proofs receive lower numbers and newer proofs receive higher numbers. All new proofs get the next available number once the migration is complete. Account settings show a progress indicator while the backfill is running.

Once you enable proof numbering for your organization, you cannot change the prefix. Numbering starts running immediately, and every proof created from that point forward uses the chosen prefix. Review your prefix carefully before you enable proof numbering.

Once proof numbering is enabled and set to display, the proof number appears in:

  • The Proof Details page
  • The Proofs list, as a column, see Display Dashboard columns
  • Proof reports and CSV exports
  • The Ziflow API

Proof numbering rules

  • Ziflow assigns one proof number per proof, not per version of the proof. The number stays the same across every version of that proof.
  • Numbers are sequential and start at 1.
  • A prefix (up to 4 characters) appears in front of the number, for example PRF-1.
  • Any letters you enter in the prefix are automatically converted to uppercase.
  • Proofs that fail during creation don't receive a number.
  • If a version is disconnected into its own proof, the new proof receives its own new number. It doesn't inherit the number from the proof it was disconnected from.

Enable proof numbering

  1. Select your user avatar and choose Settings > Proof Settings > General
  2. In Proof Numbering, select Configure to open the setup window.

  3. Enter a prefix. You can use up to 4 alphanumeric characters. Ziflow shows a live example of the resulting proof number as you type, and updates the example whenever you change the prefix.

    If you enter a character that isn't allowed, Ziflow shows a validation message below the field.

  4. Review the migration information to understand how Ziflow will number your existing (historical) proofs.

    You cannot change your prefix or run proof numbering again.

  5. Select Enable Proof Numbering to save your configuration. Ziflow begins numbering immediately. Ziflow begins numbering proofs immediately. Existing proofs are numbered in the background, and the time required depends on the number of existing proofs.
  6. Select refresh the page to update the status.
    Once completed, you will see Proof numbering enabled and the proof numbering prefix.

Display or hide proof numbers

Use the Display proof number setting to control whether proof numbers appear in the Ziflow interface.

Turning this off only hides the number in the UI, but Ziflow still generates proof numbers, and they remain available through the API.

  1. Select your user avatar and choose Settings > Proof Settings > General
  2. In Proof Numbering, select Display proof numbering to display them in the Ziflow dashboard.
