Understand email notification sender name

Ziflow email notifications can display either a System sender name (default: Ziflow) or the name of an individual user. Which name appears depends on the type of notification.

You can change the sender name in some situations, but you cannot change the email address.

When you can change the sender name

Your Ziflow administrator can configure the sender display name for these notifications:

  • New proof to review: sent to reviewers when a proof is created or there's a new version ready to review
  • Proof shared: sent when a proof is shared
  • Stage started manually: sent when a workflow stage is started manually

In these cases, the sender can be set to:

  • System (with a customizable display name)
  • The proof owner
  • The user performing the action

On Enterprise, if a notification has its own Email Template, the sender set in that template takes precedence over the sender set on the Emails page. See Customize email templates.

When you cannot change the sender name

Notifications generated by reviewer actions

You cannot configure the sender display name for notifications generated by reviewer actions. For the following events, the sender is always the person who performed the action:

  • Decisions
  • Comments
  • Mentions
  • Reactions

New proof created, sent to the proof owner

New proof created is a separate notification from New proof to review. It's the confirmation sent to the proof owner when they create a proof or new version, not the reviewer's invitation. You cannot change its sender display name on any edition, including Enterprise. That email always displays the System name, and there's no email template for it. (The email can be suppressed by default in your Admin settings or when you create a proof).
