Manage default email settings

Ziflow administrators manage all default email settings.

You can only change the display name. The From email address cannot be changed.

To open email settings, log into Ziflow and from your avatar select Settings > Proofing Settings > Emails.

Set the display name for the System

Available on: Free Standard Pro Enterprise

Next to System email from, enter a display name for system emails.


Set the email sender display name for new proof notifications

Available on: Free Standard Pro

Choose who notification emails are sent from when creating a new proof or version to make proof notification emails appear more personalized or consistent with your team’s communication style. Enterprise users, see Customize email templates.

To set the sender:

  1. Go to Settings > Proofing Settings > Emails.
  2. Under Sender of email when creating a new proof or new version, choose one of the following:
  • Proof Owner
  • User creating the proof or version
  • System (default)

 


Set the email sender display name when sharing a proof

Available on: Free Standard Pro Enterprise

Choose the display name used when sharing proofs.

  1. Go to Settings > Proofing Settings > Emails.
  2. Under Sender of email when sharing a proof, choose one of the following:
  • Proof Owner
  • User or guest sharing the proof
  • System

 


Set the email sender display when manually starting a stage

Available on: Free Standard Pro Enterprise

Choose the display name used when a proof manager manually starts a stage.

  1. Go to Settings > Proofing Settings > Emails.
  2. Under Sender of email when sharing a proof, choose one of the following:
  • Proof Owner
  • User starting the stage
  • System

Create automated late proof reminders

Available on: Enterprise

Automated reminders help keep reviewers on track by sending alerts before, on, and after a proof’s deadline.
You can configure:

  • When to send the reminder before the deadline.
  • Whether to send a reminder at the deadline.
  • How often reminders should be sent after the deadline.

Set default reviewer notifications

Available on: Free Standard Pro Enterprise

Set the default notification type for new contacts (reviewers can still change their own settings).

Notification Reviewer receives notifications:
All comments and decisions

When anyone comments or submits a decision

Note: Notifications are only triggered when a reviewer with decision rights makes a decision. Review complete does not count as a decision.

Replies to my comments When someone replies or reacts to a comment the reviewer made
Decisions

When someone submits a decision

Note: Notifications are only triggered when a reviewer with decision rights makes a decision. Review complete does not count as a decision.

Final decision Only for the final decision
Hourly digest Every hour summarizing the activity on the review
Daily digest

Once a day summarizing the activity on the review


Set the send decision confirmation email

Available on: Free Standard Pro Enterprise

Choose whether the Send me email confirmation in the Proof Viewer decision drop-down is checked by default, unchecked, or hidden entirely.
