Import comments from annotated PDFs into Ziflow to save time, reduce errors, and bring all of your review feedback together.
Available for anyone with Edit All permissions on a proof or the proof owner: Enterprise
This feature is in Public Preview phase. Public Preview allows early access to users, so they can test new features and share feedback before the full public release.

About PDF comment import
You can import annotations from a PDF file into Ziflow when you create a new proof or as a new version.
Imported comments behave just like regular Ziflow comments, you can edit, delete, reply to, or export them.
When you import comments from a PDF, each individual comment entry is added to the Activity log:
Supported markup types
- Rectangle
- Circle
- Line / Arrow
Note: Freehand and text box annotations are not fully supported in the Private Preview. Support for these will be added in a future release.
Comment attribution
All imported comments are displayed under the name of the user who performed the import, not the original author.
To see the original author, hover over the word "Imported" in the comment area:
Best practice: import to a separate stage
We recommend importing comments into a separate stage to clean up, consolidate, and verify them before opening the review to your team. This helps prevent confusion and ensures accuracy.
Avoid duplicate markups
If your administrator has enabled Preserve PDF Markups in Proof (which displays the original PDF markup annotations in the Proof Viewer), you may want to disable the setting before importing to prevent duplicate markups.
To disable this setting, you must be a Ziflow administrator:
- Go to Settings > Proofing Settings > Proof Viewer.
- Turn off Preserve PDF Markups in Proof.
Import PDF comments
To see the import feature, you need to be a reviewer on the proof and on an active stage where comments can be added.
- Create a proof or a new proof version with your PDF file.

Open the proof and select the Show comments icon.

Select the Options menu (three dots) and choose Import comments from PDF.
Ziflow imports the comments into the Comments section.

Love this new feature….however…Can you move the option to import comments from PDF to the point of upload, instead of being another step after you open the review? It's awkward to have to import the comments after you have uploaded and sent the proof for review.
