Ziflow ReviewAI automates asset reviews by combining your custom checklists with AI analysis. ReviewAI analyzes each checklist item description against the asset and suggests whether it should Pass or Fail.

Overview
ReviewAI is designed to handle the repetitive, rules-based checks in your review process so that human reviewers can focus on higher-level or subjective feedback.
ReviewAI currently works on static assets (images, PDFs) up to 10 pages. It does not yet support video, audio, or interactive proofs.

Key capabilities
- Checklist analysis: Runs Pass/Fail checks on each item in a checklist attached to a proof.
- Rationale provided: Explains why a checklist item passed or failed.
- Reviewer control: Reviewers confirm or override each decision—AI never replaces final approval.
Data privacy
ReviewAI uses third-party AI services, but your data is never used to train or tune those models. It remains private and is only processed within your Ziflow environment to support your review workflows.

- Pass: Asset meets the item description.
- Fail: Asset does not meet the item description.
Typical workflow
- Create or edit a checklist with clear, specific descriptions for each checklist item.
- Enable ReviewAI on the checklist.
- Add the checklist to a proof.
- Run ReviewAI to get suggested results.
- Review AI results, confirming or overriding as needed.
- Review and refine your descriptions to improve accuracy and reliability
Important: ReviewAI, like all AI tools, can make mistakes. Human review is an important component to the workflow to refine AI reliability. The reliability of ReviewAI depends on how well checklist items are written. Clear, unambiguous descriptions produce better results.
Create checklists
To get started with ReviewAI, you need to have a checklist in Ziflow with detailed descriptions for each checklist item. Your Ziflow administrator can set this up.

ReviewAI uses your checklist item description to suggest whether the item passes or fails. A vague or ambiguous description will lead to inconsistent results.

Enable ReviewAI on checklists
Enable ReviewAI on your checklist template to turn on the ReviewAI feature in the Proof Viewer.
- Go to Settings > Proofing Settings > Checklists and select your checklist to open it.
- Select Enable ReviewAI below the Checklist description field.
Checklists that you add to a proof after you enable ReviewAI will have ReviewAI.
Add checklists to your proof
After you enable ReviewAI on a checklist, any proof that you create which includes that checklist will have ReviewAI. See Add checklists to a proof.
Proofs using a checklist before you enable ReviewAI will not have ReviewAI enabled until your administrator resets the checklist in the Proof Viewer. For more information, see Edit a checklist template.
Run ReviewAI
- Open a proof in the Proof Viewer.
- Open the checklist panel.

Select ReviewAI.
- Wait while ReviewAI analyzes the asset against each checklist item description.
ReviewAI highlights its suggestions and when completed, changes the ReviewAI button to AI checked.
You cannot run ReviewAI again unless you reset the checklist.
- To view more details about the AI suggestion, expand the checklist item.
Rationale and reliability
ReviewAI includes text explaining why ReviewAI made its suggestion. Use this to refine your descriptions.
Reliability level:
- Perfect = ReviewAI makes the same decision as a human 100% of the time.
- High = ReviewAI makes the same decision as a human between 90-99% of the time.
- Medium = ReviewAI has between 70-89% reliability and requires improvement.
- Low = Indicates that more description refining and testing is required (below 69% reliability).
- Not evaluated: There is not enough data collected to evaluate ReviewAI's performance (less than 10 reviews).

Verify ReviewAI results
Your feedback improves ReviewAI accuracy for your account over time. In the Checklist panel, review the AI’s suggestions for each item.
For each checklist item:
- Select Pass or Fail manually to verify or change the suggestion as required. When you do so, the suggestion changes to your decision. You can still view the AI suggestion by expanding the checklist item.
If you change it back, the AI highlighting reappears. - Continue until all checklist items are human reviewed.
Review and refine
It may take some iterating to get the prompt wording right for a checklist item. If ReviewAI’s suggestion doesn’t match your decision, or if the rationale in the expanded checklist item isn’t accurate, adjust the ReviewAI prompt description and run ReviewAI again. Edit the checklist item from the Proof Viewer and reset for faster iterations. For more information, see Edit a checklist template.
