This release adds Checklists (in public preview for Enterprise plans) to help standardize reviews and ensure consistent feedback. We’ve also improved the Proof Viewer with updates to color separation, measurement tools, batch review navigation on mobile, and sign-in from the Share Proof menu.
Now in public preview: Checklists, a powerful new way to standardize your creative review process
We’re excited to introduce Checklists, now in public preview for customers on Enterprise plans. This powerful new feature will help bring structure and consistency to your review process, helping your team deliver clear, objective, and repeatable feedback on every asset.
Similar to Workflow Templates, Checklists can be created by Admins on the Settings screen, and attached to one or more stages within a review workflow.
With this release, you can now:
- Create multi-section checklists that guide reviewers through project-specific criteria
- Add HTML-based descriptions to checklist items to clarify expectations
- Choose between simply confirmation (“check”) or pass/fail requirements for each item
- Link comments directly to checklist items for added context
- Filter comments by checklist item to focus only on the specific feedback for that criteria
- Use pre-built sample checklists to jumpstart your process—no blank pages, just best practices
Checklists will help ensure that every asset is reviewed against the same set of standards, with no missed steps and minimal guesswork. Be on the lookout for future releases, which will expand Checklist functionality even further. And coming soon, ReviewAI for Checklists will let you automate the first pass through your checklist. AI-generated pass/fail decisions, along with rationale and confidence scores, will speed up your review cycle, while human verification helps improve results over time.
Proof Viewer: Updates to Color separation and Measurement tools
With this release, we’ve made several improvements to the Color Separation and Measurement tools in Proof Viewer, creating a cleaner and more flexible workspace for reviewers.
First, both panels can now be minimized to display only the header bar, freeing up space while keeping the tools easily accessible.
Next, the Color Separation panel can be resized—a particularly useful update when working with proofs that contain a large number of embedded spot colors, eliminating the need to scroll through long lists.
Finally, a new option lets you filter out 0% color values, making it easier to quickly identify the true CMYK composition of any element in your asset.
Together, these updates give creative and production teams more control over technical review tools, streamlining workflows for color accuracy and print production without adding visual clutter.
Proof Viewer: Improved Batch Review recognition; navigation on mobile
We’ve made important updates to help reviewers better navigate and evaluate Batch Reviews, especially on mobile, where users may not always realize a proof contains multiple assets.
First, the mobile version of Proof Viewer now includes an updated, more prominent navigation element. This enhanced navigator makes it clearer when a Batch Review contains multiple assets, displaying both a numerical indicator and a label that reads: “This proof contains assets.” To make it even harder to miss, the asset count will display in a red circle until the navigator has been opened at least once.
Second, we’ve added a new safeguard in the decision-making process. When users attempt to make a decision on a Batch Review, a shaded blue notification box will appear in the “Make Decision” panel, reminding them: “This proof contains assets. Make sure you review all of them before making a decision.” This alert will appear every time, for every Batch Review, helping reviewers avoid submitting decisions prematurely before all assets have been seen.
Together, these updates provide greater clarity for reviewers, ensuring that all assets in a Batch Review are recognized, reviewed, and accounted for—whether on desktop or mobile. For more information, see Review proofs on mobile devices.
Proof Viewer: Sign in via the Share Proof autocomplete menu
To maintain a secure proofing environment, users who access a proof by clicking an email link are only “partially” logged in. This state allows them to review and comment on the proof, but unable to access account-level features, like seeing colleagues in the Share Proof autocomplete menu. In contrast, users who log in with their username and password (or via SSO/Google) are considered “fully” logged in and have access to those features.
With this release, we’ve added a new “Sign in” link directly within the Share Proof autocomplete menu. So if a reviewer clicks on a link in their email to review a proof, and is thus in a “half-logged in” state, they can now fully complete the login process by clicking the link in that menu, easily unlocking autocomplete functionality to share proofs with their colleagues.
PDF annotations not displaying in proof
If your PDF annotations (for example, red box comments) don't display in the Proof Viewer, we apologize for the change. As part of an upcoming feature to support native PDF comments, we have made some changes which have changed the default behavior.
Until this update is released, you can enable the previous method. Thanks for being patient while we develop another requested feature for Ziflow.
Go to Settings > Proofing Settings > Proof Viewer and enable Preserve PDF Markups in Proof.
