Flows are built by combining events and actions. (Zibots or webhooks). The available events and actions depend on the application you select when building your flow.

This is the basic flow building process.
An event is something that happens (a new proof is created, a comment is added, a review decision is made, etc.). For a list of all Ziflow events, see Ziflow events.

To avoid disruptions when ownership changes, consider creating and using a shared Admin account to create and manage automation flows. This helps ensure flows continue to function even if individual users change roles or leave the organization.
Basic flow building
From the Connect tab, select Create Flow to get started.
The Flow pane displays your flow as you build it.
- Select the application where your event will occur.
Note: If you do not see your application, you need to connect it first. - Select the event that will start your flow.
- Add a Zibot action to run when the event occurs. Configure the Zibot and select Next. Different applications have different Zibot actions.
Note: To see application-specific Zibots, you need to connect that application first.
Events that trigger a flow are limited to actions in Ziflow, submissions via an intake form, or actions in a connected cloud storage app. Connecting external apps (for example, Asana) make their Zibot actions available, but you still need to configure triggers in those external apps. - Review your flow in the Flow pane. The green checkmarks indicate that you have filled in all the required information and there are no errors.
- [optional] To add more Zibots to your flow, select the + icon before or after an existing Zibot.
To delete a Zibot, select the trash icon next to the Zibot.
To edit a Zibot, select it to open its settings page.
- Go to the Summary to save and turn on your flow.
If there is a problem with your flow, the Flow pane displays what is missing in red text and the event or Zibot is outlined in red to identify what you need to fix. To troubleshoot your flow, see Troubleshoot failed flows.
