Manage automation flows

All flows created by you or your team members are listed under the Connect tab. From here, you can edit, filter, search, check history, clone, activate/deactivate, and delete flows.

Available on: Business Legacy, Standard Pro Enterprise

To access the flow list, from the main navigation menu, select the Connect tab.

 

Filter your flows

Choose from:

  • All flows: Every flow you have access to.
  • Active flows: All active flows.
  • Inactive flows: Flows that are turned off.

 

Search your flows

Type in the search bar to find flows instantly. Results update in real time.

 

Activate or deactivate your flows

Deactivate a flow without deleting it when you need to pause processing.

 

View recent history

Click the arrow under a flow, or right-click, to see recent activity.

Edit, clone, and remove flows

Select the Options menu (three dots) next to your flow, or right-click, to do the following:

Option Description
Open details View the details of a flow.
Edit  Open the flow to make changes to flows you have created. You must be the flow creator to edit it.
See history

View the full list of files processed by the flow, including success/failure indicators for each step:

Green line – Step completed successfully.

Red line – Step failed.

Clone Create a copy of an existing flow with all settings duplicated. The copy’s name will include “(clone)” until you rename it.
Remove

Permanently remove a flow.

Only the flow creator can delete a flow. Team admins can deactivate flows but cannot delete them.

 

View real-time flow activity

When a flow is running, you can track its progress live:

  • A spinning circle appears next to the active flow.
  • Click the arrow to view files currently being processed.

Troubleshoot failed flows

If you see a red line under a flow step, it means the flow failed at that step. 

Only the owner of the flow can view the details. The response details are available for 30 days.

  1. Click the failed flow step to view the details about that step. The response provides failure reasons. The Response details can look different depending on the flow (below are details from an Airtable flow and a Notion flow).

  2. Select the Flow name to open the flow. If you make changes, you can try running the flow again to see if the flow works. Select the Options menu (three dots) next to the flow and choose Retry.

Check for common issues:

  • The connected Cloud storage service is offline or unavailable
  • A folder name or path in the flow has changed
  • API keys are no longer valid because the owner of the flow is set to inactive

If the problem continues, contact Ziflow Support.

When contacting support, include the ID of the flow to speed up troubleshooting. Select the arrow next to your flow to display the failed flow. Select the Options menu (three dots) next to the failed flow and choose Copy ID (see image above).
