Use the Text Annotation tool

The Text Annotation tool lets reviewers mark up words or sentences directly in a proof to suggest edits or provide feedback. You can highlight, replace, delete, or insert text directly within the document.

Available to users with Comment permissions or higher in: Free Standard Pro Enterprise

Supported file types

Text selection and annotation are available for the following file types: .pdf, .doc, .docx, .ppt, .pptx, .xlsx, and web captures.


Open the Text Annotation tool

  1. In the Proof Viewer, select the Comment + icon in the upper-right corner to open the comments.

  2. Select the Text annotation icon from the toolbar.

  3. Click and drag across any text in your proof to select it.
    Shift while dragging to make a rectangular selection (useful for tables or narrow text regions).

    When text is selected, a small menu appears with options.

    After choosing an option, the corresponding markup and tagged text appear in the comment box.
    • Highlight text – Select specific words or sentences to add into the comment.
    • Replace text: Suggest alternative wording.
    • Delete text: Mark content for removal.
    • Insert text: Suggest new text to be added.
  4. Enter your feedback in the comment and select Post to save it.

Copy text or comments to the clipboard

When using the Text Annotation tool, you can copy either the selected text or an entire comment to your clipboard.

  • Copy tagged text: Click the token label (for example, Replace, Delete, Insert) next to your annotation to copy the associated text instantly.

  • Copy full comment text: Hover over an existing comment, click the More options () icon, and select Copy text to clipboard.

The Copy to clipboard action cannot be replaced with keyboard shortcuts.
To copy highlighted text, use the Copy to clipboard option in the viewer.
