In Ziflow, each proof notification email contains a private proof URL for the recipient.
That URL includes:
Access to the specific proof
The private URL link includes a secure digital key (access token) assigned to the reviewer it was sent to. This token is the reviewer's identity. Ziflow identifies the person who uses the private URL link as the intended reviewer for this specific proof.
Private proof URLs are intended to:
Reduce login friction
Allow fast access from email
Support external or occasional reviewers
Enable collaboration without requiring accounts for every participant
This approach prioritizes convenience, but it relies on correct link handling to avoid confusion.
What this means
When someone clicks a private proof URL, Ziflow assumes they are the original recipient and opens the proof in that reviewer’s name.
No additional sign-in is required unless you configure proof security to require reviewers to sign into Ziflow.
Think of a Ziflow private proof URL like a pre-printed visitor badge at an office.
The badge already has a name on it
Whoever is wearing the badge is treated as that person
Security doesn’t ask who you are, it trusts the badge
If you hand your badge to someone else, they can enter the office, and everything they do while wearing the badge is logged under your name
Do not share your private proof URL
To avoid sharing your proof link unintentionally:
Do not forward your proof notification email to someone else
Do not copy and share your private proof URL link with someone else
Example: David is sent a proof notification email and forwards it to Lisa.
If Lisa opens a proof using David's link:
Within that proof, Lisa is treated as David
All comments and decisions are attributed to David
Lisa does not gain access to David's account or account settings. Lisa can only see your proof review.
Best practices for sharing proofs
To ensure comments and decisions are attributed correctly:
- Do not forward proof notification emails: Forwarding a proof email shares your personal access link.
- Add reviewers directly to the proof: Each reviewer receives their own notification email and access link. See Add / remove reviewers or edit reviewer settings in a proof review.
- Use the public URL when appropriate: Depending on configuration, a Public URL can be used. See Share a proof / Add reviewers.
- Enable additional security settings if needed: You can require authentication or restrict link sharing to improve traceability and security. See Configure proof security when creating a proof.
What to do if you use someone's link by mistake
If you accessed a proof using the wrong link:
Clear your browser cache and cookies.

Reopen the proof using either:
Your own notification email
The public URL (if applicable)
This ensures you are identified correctly going forward. You will have to redo your comments in your own review.
