Administrators can change the names of the review decision labels that reviewers see in the Proof Viewer, or add decision reasons and customize a post-decision message for reviewers when they submit their decisions.
To manage decision settings, select your avatar and go to Settings > Proofing Settings > Decisions.

Administrators can change the decision labels on the Proof Viewer:

Ziflow's standard decision options are mapped to fixed system logic that determines how proof statuses and final decisions are calculated. While you can customize the display labels for decisions, the change is only cosmetic. The underlying meaning, order, and behavior remain hard-coded.
Changing a label does not change how Ziflow interprets or applies calculation decisions. We recommend choosing wording that matches the original labels to avoid decision calculation confusion.

Ziflow provides these standard decision labels:
Approved | The proof is approved as-is. |
Approved with changes | The proof is approved, but requires changes that do not require a new version. |
Changes required | The proof requires changes and a new version once changes are made. |
Not relevant |
The reviewer opts out of participating in the decision for this version. For example, they may have previously approved content unaffected by the current changes. |
Change decision labels
When you change the decision labels, the new labels are visible to all reviewers.
- In the Decision labels section of Decision settings, select the label name you want to change.
- Enter a new name, and select Save changes.
To revert to the original decision labels, select Restore defaults and Save changes.
Hide/display decision labels
Choose which decision options are visible to reviewers by toggling the Display switch on or off and saving your changes.

If you need reviewers to provide context after making a decision, such as explaining the reason behind their choice or confirming compliance requirements, you can add custom decision reasons that reviewers can choose when they submit their decisions. The responses are visible in the dashboard and can be included in PDF exports along with comments.
- In the Decision checklist section of Decision settings, select + Add reason and enter text. To give your reviewers the option to add explain their reason, select Show text box and select Save changes.
- Choose if reviewers are able to choose multiple options from the decision checklist or require at least one selection.

Select the types of decisions in which decision reasons will be displayed by selecting Show checklist next to the decision name and select Save changes.
Add a post-decision message

Add a message to reviewers after they submit their proof decision. The message will display after a reviewer submits a decision. This setting is disabled by default.
- In the Post decision message section of Decision settings, enter a post-decision message and format it with the text editor options.
- Enable a post-decision message for each type of decision where you would like it to display.
