Monitor storage and proof usage

Storage space and the number of proofs created is specific to each Ziflow edition. Your users get a set amount of storage space and proofs to create per user, per month. You can check on your monthly totals under the Billing tab in Settings.

  • Your account is not blocked immediately at 100% usage. You can continue working on existing proofs and create new proofs for 24 hours.
  • Upgrading editions or users prorates proof and storage limits.
  • Downgrades apply at the start of the next billing cycle.

 

Account owners and administrators can view usage totals. Select your avatar and go to Settings > Billing.

The usage counter tracks storage and proof consumption on a monthly basis.
You can adjust your subscription at any time to add licenses, storage, or proofs.

How proofs are counted

Static Proofs

Free, Standard, Pro, Enterprise

  • Single-file proofs: Count as 1 proof.

  • New versions: Each new version counts as 1 proof for all current plans.
  • Merged files (batch review): Count as 1 proof (available for Pro and Enterprise editions only).
  • Multiple unmerged files: Each file counts separately (available for Enterprise editions only).

Rich Media, Video, and Audio Proofs

Free, Standard, Pro, Enterprise

  • Single-file proofs: Count as 1 proof.

  • New versions: Each new version counts as 1 proof for all current plans.

 


When storage runs out

Administrators and billing contacts receive a banner warning in Ziflow and are notified by email.

  • At 75% capacity: Admins and Billing contacts receive a warning in Ziflow and by email.
  • At 100% capacity: You must either purchase additional storage or delete existing proofs. New proofs can still be created for 24 hours.
  • At 150% capacity: You can no longer create new proofs or attach files to comments.

⚠️ Important

Archived proofs still count toward your total storage. Delete proofs to free up space, or purchase more storage.
