Learn how to install and use the Ziflow widget inside monday.com (Pro & Enterprise)

Ziflow’s all-new in-app experience allows users to manage the entire creative proofing process directly within monday.com tasks. This makes creative asset management more accessible and more efficient, eliminating file size restrictions and simplifying workflow automation.

This guide provides step-by-step instructions for administrators and users on configuring and using the Ziflow integration within their monday.com account.

Please note that the Ziflow integration with monday.com requires the use of integration fields in flows, which are only available in Ziflow Dashboard 2.0. If you haven’t enabled Dashboard 2.0 in your account, please refer to the following article on how to get started.


Ziflow app installation process (admins only)

Start the installation process by going to the monday marketplace and searching for the Ziflow Collaborative Proofing app. Then, add the Ziflow application to your monday.com account, as shown in the animation below.

Please note that integrating Ziflow to monday.com can only be done by users with admin privileges in both Ziflow and monday.com.

Now, you can navigate to the monday.com project where you'd like to install the Ziflow widget and open any existing task on the list. Click on an Add view button and search for Ziflow. Please select the Ziflow Proofs app from the views list. A new tab will be added to your views list on the opened task.

Next, click the Connect button, which will redirect you to Ziflow. If you're not already signed in, please log in and follow the widget installation wizard as outlined below.

Once the widget is installed and the integration between Ziflow and monday.com is authorized, all users with access to the board can start using the Ziflow Proofs flyout to create, manage, and view proofs directly within monday.com.

We recommend setting the Ziflow Proofs as the default view for your monday.com board. This ensures that anyone who opens a monday.com task in flyout mode will immediately see the Ziflow widget.


Using the Ziflow Widget in monday.com: A User's Perspective

Once installed by your monday.com administrator, the Ziflow flyout widget is available in the Item Views tab when you select a task from your monday.com board.

Upon opening the Ziflow Proof item view, you will notice basic details (thumbnail, status, deadline, number of comments/replies, owner, and Review button) of the proof linked to the selected monday.com item.

If you're already signed in to your Ziflow account, click the Review button to be redirected to the Ziflow Proof Viewer and start the review process. If you’re not signed in yet, you can log in by selecting the Sign In option or by clicking the Review button and signing in within the Proof Viewer.

Once logged in to Ziflow, you will have access to proof management actions. Please note that access to the proof and various management options depends on the permissions granted by the proof owner.

Creating proofs with the Ziflow Widget in monday.com

To start creating proofs from the Ziflow widget, you must be signed into your Ziflow account. You can log in to Ziflow before accessing the monday.com site and begin uploading proofs immediately, or you can open the Ziflow widget within monday.com and sign in directly from there.

We also support creating multiple proofs within a single monday.com task, allowing you to link several projects to a single monday.com task if needed.

Auto-Populate monday.com Integration Fields in Ziflow Proofs

Every proof created from the Ziflow widget is automatically populated with integration fields. This guarantees that whenever someone opens a proof created in the widget, they’ll see the relevant monday.com task details under the Integrations tab in Ziflow.

Thanks to filling out integration fields, users who open proofs in Ziflow can easily see if a proof is linked to a monday.com task and access it directly on the monday.com site.

Reviewing proofs created Through the Ziflow Widget in monday.com

To open a proof from the monday.com task level, users need to open the task in flyout mode and click the Review button.

Clicking the Review button will redirect you to the Ziflow Proof Viewer, where you can leave feedback and make decisions based on the permissions granted by the proof owner.

Depending on the proof's security settings set by the proof owner, you may be required to sign in to Ziflow before you can add comments or make decisions.

Proof management and creating new proof versions

Users who need to manage proofs linked to monday.com items or create new proof versions can also use the Ziflow widget within monday.com. You must be the proof owner or have management/share rights to add a new version, share a proof, or open a proof in edit mode.

To access the options mentioned above, open the monday.com task and click the ellipsis button. This will open an actions menu with several options:

  1. Open proof - this button opens the proof in an edit mode. You can adjust any of the proof settings inside the Ziflow dashboard.

  2. Share for review - invite new reviewers to the proof without leaving monday.com. This action takes place directly within the widget.

  3. Create new version - opens the new version screen within the widget, allowing you to initiate a new proof version.

  4. Remove from item - use it to unlink monday.com from selected proof in Ziflow.

Connecting monday.com to multiple Ziflow accounts

The Ziflow widget is designed primarily for a one-to-one connection, meaning each Ziflow account should ideally connect with a single monday.com account. While it is possible to configure one Ziflow account to work with multiple monday.com accounts, this setup is not recommended, as it can complicate the creation of workflows and integrations across accounts.

Currently, the widget does not support connecting multiple Ziflow accounts to a single monday.com account.
